Core Job Summary
The ORA Grants Analyst 3 oversees the maintenance of timely and accurate financial records in accordance with standard fiscal practices and requirements for grant functions in assigned division(s). Moreover, the ORA Grants Analyst 3 manages budgets for all government grants and contracts while providing grant accounting services for awards made by sponsors.
Core Job Functions
- Timely preparation and submission of monthly vouchers and expenditure justifications.
- Aids in the preparation of program budgets, modifications, and forecasts.
- Performs grant-related functions such as budget distributions, expense monitoring, periodic invoicing, and financial reporting.
- Communicates with fiscal contacts at funding source for problem resolution and information gathering.
- Maintains knowledge of current issues relating to grants and single audits of federal, state, and local government agencies and non-profit organizations.
- Maintains the general ledger and enters any adjustments or reclassifications.
- Investigates discrepancies, interprets agreements and regulations, and provides recommendations based on sound accounting practices.
- Completes all aspects of the annual audit report on federal awards.
Core Qualifications
- Education: Bachelors degree in Accounting, Finance or related field.
- Certification and Licensing: Successful completion of Certified Public Accountant, Certified Financial Research Administrator, or Certified Research Administrator status or equivalent designation preferred.
- Experience: Minimum 4 years progressive Grant Accounting experience. Analysis of large data sets.
Department Specific Functions
- Oversight of sponsored research accounts from award set-up through closeout while adhering to University, State and Federal policies.
- Supports the sponsored programs core unit and department, in education and training; assesses needs and resolves issues of the core unit, administrators and principal investigator related to grants and contracts.
- Maintains regular communications with department and communicates with fiscal contacts at funding source for problem resolution and information gathering.
- Assists in the completion of all aspects of the annual audit report on federal awards.
- Responsible for awards funded by federal and not-for profit sponsors based on assigned portfolios.
- Performs grant closeout functions including reconciliations, financial status reports, final invoices, and final reporting.
- Serves as backup to approve expense transactions to ensure accuracy and completes journal entries.
- Creates journal entries (JEs) to allocate residuals/overdrafts and/or overhead discrepancies to departmental accounts, as a result of reconciliations/closeouts.
