About the Role

The YPM & IPCH Operations Manager provides high-level administrative services and business operations support for the Yale Peabody Museum (YPM) and the Institute for the Preservation of Cultural Heritage (IPCH). This role ensures faculty, students, and staff receive high-quality administrative support compliant with University policies. The Operations Manager enables departmental and program leaders to focus on program activities by managing and implementing financial and administrative support services. The position reports to the Lead Administrator (Director of Finance & Administration) for YPM and IPCH and may manage one or more Financial Assistants.

This is a full-time, on-campus position, with time split between YPM’s main museum building in New Haven and the Collection Studies Center at Yale West Campus.

The Yale Peabody Museum, a leading institution for research and education in the natural sciences, offers a stimulating environment for professionals passionate about science and history. The newly renovated museum houses remarkable collections spanning paleontology, anthropology, and geology, dedicated to advancing knowledge through exhibits, research, and educational initiatives.

The Institute for the Preservation of Cultural Heritage (IPCH) advances cultural heritage preservation through interdisciplinary research, conservation, and educational opportunities. As the programmatic hub within Yale’s Collections, IPCH focuses on analytical and data sciences, conservation, and global heritage exchanges. It collaborates with Yale’s museums, libraries, and global partners to study and preserve material culture while strengthening the field through teaching, outreach, and training.

Responsibilities

  • Administrative Services Manager: Delivers and integrates administrative services (academic, financial, research, and/or clinical) for the unit. Serves as the primary contact for service providers (e.g., Facilities, HR, IT, Procurement) to ensure unit needs are met. Monitors service delivery and escalates issues to the Lead Administrator (LA).
  • Financial Analyst and Manager: Partners with the LA to build financial plans and provides analysis and reporting to monitor financial performance. Oversees daily financial monitoring, authorizes transactions, and supports financial inquiries. Identifies financial resources and prepares budgets, including historical analysis and quality control. Assists in analyzing funding challenges and opportunities.
  • Risk Manager: Implements and maintains internal controls to ensure compliance with policies, procedures, and regulatory requirements. Takes corrective action to protect Yale’s assets and reputation. Ensures faculty and staff are knowledgeable about relevant regulations and escalates issues as needed.
  • University Citizen: Aligns unit priorities with University initiatives and represents unit needs at the LA and University levels. Enhances the unit’s image and shares best practices across the organization.
  • Talent Manager and Developer: Attracts, retains, and develops high-quality administrative talent. Partners with HR on selection, performance management, and employee relations. Assesses talent needs and recommends staffing and development strategies to cultivate diversity.
  • Strategic Resource: Partners with the LA to shape administrative and operational priorities and supports strategic planning. Translates unit strategy into actionable plans, identifies resource needs, and assesses financial and non-financial resources (e.g., funding, space, technology, staff capacity).

Requirements

  • Bachelor’s degree and a minimum of three years of related experience, including demonstrated leadership, project management, or supervisory experience; or an equivalent combination of education and experience.
  • Thorough working knowledge of accounting, financial reporting, and analysis; fund accounting preferred.
  • Experience preparing budgets, forecasts, and financial plans, and integrating financial information to identify trends and issues.

Skills

  • Well-developed decision-making, planning, organizational, and problem-resolution skills.
  • Ability to manage time and resources effectively, measure progress, and adapt as needed.
  • Proficiency in Excel and experience with budget management, financial reporting, and fund accounting.
  • Excellent written and verbal communication skills, with the ability to adapt communication style for diverse audiences.
  • Ability to anticipate and proactively manage change in a complex business environment.
  • Solid understanding of internal control concepts and their implementation.
  • Sensitivity to cultural differences and ability to interact effectively with individuals from diverse backgrounds.
  • Ability to manage confidential matters with discretion.

Preferred Skills

  • Experience with University financial and administrative systems (e.g., Workday, YBT) and knowledge of relevant processes and policies.
  • Proven experience in higher education, museum, or non-profit administration, particularly interacting with faculty, staff, and other departments.
  • Experience with restricted endowments, gifts, sponsored awards, and financial gift management.
  • Experience with international operations.

Pay

$68,000.00 - $120,500.00
