Primary Responsibilities

  • Provide comprehensive administrative and program support to the assigned supervisor and members of the team in office administration, logistics management, personnel management, time and attendance tracking and submission, database administration, and project requirements.
  • Assist the supervisor and other senior staff with overall operations, by identifying inefficiencies, recommending solutions, and helping streamline processes to enhance operational effectiveness.
  • Advice management on planning, staffing, and resourcing of operations.
  • Recommend methods to improve the effectiveness and efficiency of the planning process and resource allocation.
  • Develop and implement procedures and practices that ensure the efficient operation of the office and accountability of resources.
  • Maintain strong internal controls and evaluate operations to ensure compliance with program requirements and Department standards.
  • Provide accurate and timely reports regarding equipment, manpower, and equipment assets as requested by the multiple levels of management.
  • Prepare detailed reports, briefings, data analyses, spreadsheets, and presentations for senior management review and decision-making.
  • Synthesize complex information from multiple sources to provide actionable recommendations on logistics operations, resource allocation, and program performance.
  • Standardize and professionalize templates to ensure all materials leaving the unit are coherent, polished, and professional.
  • Prepare and edit reports, memoranda, and other documents for content, grammar, and adherence to Department style guidelines.
  • Develop, improve, and implement standard operating procedures to ensure consistency, efficiency, and compliance across all operational functions.
  • Coordinate all administrative, logistical, and other support areas are coordinated for office operations and events.
  • Provide various additional administrative, logistical, and operational functions as required.
  • Serve as a liaison and subject matter expert with internal staff and other Department offices, and external stakeholders.
  • Work closely with senior management to facilitate communication and coordination across organization boundaries.

Education And/or Experience

  • US Citizenship.
  • Bachelor’s Degree and six years relevant experience.

Knowledge, Skills, And Abilities

  • Demonstrated understanding of administrative operations and program or project management.
  • Ability to multi-task on time-sensitive assignments and strong attention to detail.
  • Ability to work effectively with minimum guidance in a constantly evolving unit.
  • Demonstrated proficiency with Microsoft Office – SharePoint, Word, Excel, PowerPoint, and Outlook.
  • Experience drafting and editing U.S. government reports and documents.
  • Working familiarity with Department of State regulations (FAM, FAH, DOSAR, DSSR, etc.).
  • Ability to work independently on projects and issues within overall policy guidelines.

Work Environment

  • General office environment.
  • Some travel both domestically and internationally may be required based on business demands.
