About the role
Indagare is hiring a Temporary Operations Associate for an initial three‑month term, with a strong possibility of conversion to a permanent, full‑time role based on performance and business need. The position is fully remote, reports to the Senior Director of Operations, and is a W2 temporary engagement (3 months, extendable). Primary focus is the Finance x Operations initiative, with potential to grow into supplier liaison and cross‑functional project work.
Responsibilities
- Vendor & Contractor Expense Tracking – refine and roll out a new process for tracking vendor and contractor expenses (intake, approval, reconciliation); document the process and train stakeholders.
- Accounts Receivable & Collections – clean up the existing AR and collections process end‑to‑end; define a clear write‑off policy and aging/escalation process for outstanding receivables.
- Documentation Sprint – partner with Finance and Operations leadership to launch a streamlined SOP architecture; help structure, write, and organize SOPs for consistency and ease of maintenance.
- Expense Report Process Review – review the current expense report process following its recent update; identify and recommend refinements for accuracy, compliance, and ease of use.
- Salesforce / NetSuite Integration – work with Tech and Finance leadership to project‑manage the integration fix; track open issues, coordinate stakeholders, and keep the initiative moving to completion.
- Cross‑Departmental Accountability – ensure meeting notes and action items are distributed promptly; track deadlines and hold team members accountable.
- End‑of‑Year Sentiment & Impact Review – conduct a retrospective/sentiment review at the end of the engagement; measure impact against KPIs and capture lessons learned.
- Supplier & Cross‑Functional Support (as bandwidth allows) – serve as point of contact with suppliers, coordinate communications, follow up on open items; support cross‑functional projects with other departments; take on additional operations projects as assigned.
Requirements
- 1–3+ years of relevant work experience in operations, project management, finance, or a related field; Bachelor’s degree preferred.
- Exceptional project management skills – ability to organize multiple concurrent workstreams, track details, and reliably drive projects to completion.
- Confidence and polish working with, and managing up to, senior leadership; comfortable pushing timelines and holding stakeholders accountable.
- Proactive, ownership‑oriented mindset – identifies what needs to happen next and moves it forward without waiting to be asked.
- Strong written and verbal communication skills, especially for documentation, process write‑ups, and stakeholder updates.
- Comfort working across ambiguity and shifting priorities as the role expands from a defined project to broader cross‑functional support.
- Familiarity with financial processes (AR/collections, expense management, vendor/contractor payments) and tools like Salesforce or NetSuite is a plus, but not required.
