Reports to: Director of Operations
About the Role
The Operations Associate supports the Director of Operations in ensuring smooth day-to-day school operations, serving as a vital element of a healthy school alongside academics and culture. This role assists with facilities maintenance, family communication platforms, school-level attendance, and chronic absenteeism.
Responsibilities
- Facilities
- Manage the school-level ticketing system for building issues and route them to the appropriate person or entity.
- Communicate regularly with custodians as needs arise during the day.
- Support summer preparations for student and teacher return.
- Assist with compliance issues (e.g., monthly elevator checks).
- Gather data from school staff on building cleanliness.
- Support teachers with unexpected facilities needs (e.g., AC outages, ceiling leaks).
- Communication
- Collaborate with Front Office staff to create a streamlined family communication plan (e.g., Talking Points, Blackboard, weekly notes, emails).
- Support systems for quarterly updates to family contact information.
- Assist the Office Manager in creating incentives to increase teacher participation in family contact.
- Gather information for a weekly or monthly family newsletter.
- Collaborate with the Director of Operations on a quarterly Operations newsletter for staff.
- Attendance
- Assist with daily attendance and data accuracy.
- Lead or support the Attendance Team, with direct responsibility for chronic absenteeism.
- Manage and analyze attendance data.
- Organize outreach, attendance meetings, and plans for students.
- Create and manage attendance incentives.
- Support the Office Manager with filing truancy petitions.
- Technology/Equipment Support
- Support the Associate Director of Data and Technology and Director of Operations to ensure staff have access to working resources (copiers, printers, equipment, laptops).
- Assist with inventory of devices (student Chromebooks, staff computers, hotspots).
- Support the Office Assistant with student tech issues during the school day.
- Additional Responsibilities
- Arrange coverage for teacher and staff outages (e.g., Kelly Services or in-house solutions).
- Assist with special projects (e.g., Teacher Appreciation Week, Vendor Appreciation Days, TN Ready, COVID protocols, special events).
- Provide transportation support as needed.
Requirements
- GED required; Bachelor’s degree preferred.
- 3+ years of experience in school systems preferred; K-12 School Operations experience a plus.
- Customer service focus with strong interpersonal and communication skills.
- Ability to work independently with a high degree of accuracy.
- Belief in the mission of developing responsible citizens who graduate and attend a four-year college or university.
- Ability to build relationships with a wide range of stakeholders.
- Flexibility to lead and attend initiatives and events on evenings and weekends.
