Operations Associate

About the role
The part-time Operations Associate plays a critical role in supporting the chorus by managing and maintaining high-quality operations, streamlined rehearsal and event logistics, and updated organizational systems. This position reports directly to the Chair of the Board of Trustees and works closely with the Artistic Director.
This is a non-exempt, part-time position requiring approximately 8-10 hours per week, with potential for more hours during busy periods (typically concert weeks, 3x per year) and fewer hours when the choir is not in session in June/July. The role requires regular in-person evening hours on Wednesdays at rehearsal locations in Manhattan, occasional in-person evening hours for board meetings, and flexible additional remote hours. A complete Covid vaccination is required.
Responsibilities
- Serve as the first point of contact for chorus members regarding operational and logistical needs.
- Develop and maintain positive working relationships with the board of trustees, Artistic Director, chorus members, and volunteers.
- Attend monthly board of trustees meetings and report on activities.
- Provide tracking oversight of donations in the donor management system.
- Draft and share donor thank-you letters on behalf of the board.
- Coordinate scheduling and logistics for the school outreach program and events.
- Lead logistical planning and operations for chorus events (rehearsals and concerts), including site scouting, booking, venue coordination, compiling program materials, hiring musicians, and communications in partnership with the Artistic Director and Board.
- Oversee day-of operations management of concerts, including distribution of program materials, managing volunteers, ticketing, front-of-house responsibilities, backstage logistics, and stage managing in certain venues.
- Set up rehearsal space and staffing information table; provide mid-rehearsal announcements and perform other organizational tasks during Wednesday evening rehearsals.
- Schedule and manage the auditions process in partnership with the Artistic Director.
- Monitor NYCMC paper mail.
- Order and distribute music for the chorale.
- Manage virtual organizational platforms, including Google Drive, website, and singer management software.
Qualifications
- Self-directed and highly organized.
- Proactive and clear communicator.
- Aligned with the mission and values of NYCMC.
- Some knowledge of music or musical organizations (desirable).
- High proficiency with Google Docs and web-based systems such as SquareSpace.
- Strong attention to detail and ability to produce accurate work with limited direct oversight.
- Ability to work effectively both independently and in close collaboration with teammates and volunteers.
- Desire to learn new skills and technologies.
- Ability to move from big-picture ideas to detailed implementation, adjusting programs as conditions or feedback require.
- Interest in staying with the choir for multiple seasons and growing with the organization.
Pay
$22.00 - $25.00 hourly, depending on experience.
