What You’ll Do
- Receive, sort, and distribute incoming and outgoing mail, packages, and courier deliveries; manage certified mail, FedEx, UPS, and courier requests while accurately tracking shipments.
- Conduct regular office walk-throughs to assess cleanliness, organization, and functionality; identify hazards and escalate maintenance, facilities, or safety issues as needed.
- Set up and break down conference rooms for meetings and events, and prepare workstations for visitors, new hires, office moves, and relocations.
- Partner with building management and external vendors to support repairs, maintenance, deliveries, and onsite services, ensuring work meets firm standards.
- Maintain office supplies, monitor inventory, and support cost-efficiency by minimizing waste and using resources responsibly.
- Perform light cleaning, routine maintenance, furniture assembly or moves, restock common areas, and provide copying, scanning, and document distribution support as needed.
What You’ll Bring
- Education: High school diploma required; associate or technical degree preferred
- Experience: At least three years of experience in a high-volume mailroom, facilities, or operations role, ideally within a professional services or law firm environment.
- Organization & Time Management: Strong attention to detail with the ability to prioritize multiple tasks and meet tight deadlines.
- Communication & Collaboration: Excellent interpersonal, written, and verbal communication skills with a service-oriented, collaborative approach.
- Technical & Equipment Skills: Proficiency with standard office equipment and basic computer applications, including Microsoft Office Suite.
- Physical Capability & Flexibility: Ability to stand and walk for extended periods, operate a mail cart, lift up to 50 pounds, and adjust work hours or responsibilities as business needs require, including occasional overtime.
- Professional Judgment: A polished demeanor, discretion, reliability, and sound judgment in a fast-paced office environment.
Compensation
The base salary range below represents the low and high end of the salary range for this position in New York City. This range may differ based on your geographic location and cost of living considerations. At Kirkland & Ellis, we consider compensation more than just a base salary. Compensation Range
- New York City: $44,000 - $67,000
