Administrative support role in a court or legal environment.
Responsibilities
- Transcribe correspondence, reports, or memoranda from notes and/or dictation
- Type routine materials such as reports, forms, correspondence, and memoranda
- Enter data in computers
- Type statistical data or technical reports
- Proofread and/or edit documents for grammar, punctuation, spelling, or format
- Proofread data to verify its accuracy
- Compose, draft, and finalize correspondence, memoranda, or other documents
- Update and correct information in an automated system
- Prepare and update logs, file folders, and other documents
- Format and produce charts, graphs, or tables on a computer using various software
- File and retrieve documents in established filing systems
- Answer telephones and relay messages
- Answer questions from the public by phone or in person
- Resolve minor problems in person, by phone, or correspondence
- Prepare and maintain confidential materials
- Create new files in systems
- Gather information, prepare, and process documents
- Compile statistical data and prepare reports
- Conduct client or customer interviews to gather information
- Maintain office equipment as "key operator" (e.g., changing toner, fixing paper jams)
- Sort, collate, and prepare documents for data entry
- Conduct records searches in databases
- Schedule and calendar meetings, appointments, interviews, or conferences
- Establish and maintain complex filing systems
- Greet and direct the public (in person)
- Create brochures, newsletters, or similar media
- Order, stock, and maintain supply inventory
Requirements
- High School Diploma or GED
- Willingness to work overtime, including weekends or holidays
- Willingness to travel out-of-town if required
- At least two years of full-time paid experience in one or more of the following work environments:
- Court (federal, state, local)
- Legal (attorney's office)
- Government (other than court or law enforcement)
- Law Enforcement
- Jail or Detention Facility
- Human Resources
- Social Services
- Accounting or Banking
- Library
- Information Systems
- Proficiency in the following computer applications:
- Windows
- Outlook
- Word
- Excel
- Access
- PowerPoint
- Publishing
- Munis
- AJACS
- Job-related licenses, registrations, certificates, and/or professional memberships (if applicable)
- Minimum typing speed of 60+ wpm using a word processor
- Minimum speedwriting/shorthand speed of 80+ wpm
