About the Role

Weintraub Tobin's Century City office is seeking an on-site, part-time (at least 20 hours per week) Office Support Specialist to support the seamless daily operations of the office by providing front-desk coverage, clerical, facilities, mail, and service support to attorneys, clients, and staff, ensuring the office remains organized, efficient, and welcoming. The successful candidate must be able to multitask in a fast-paced and professional environment, enjoy working as part of a team, and demonstrate a commitment to delivering exceptional, high-touch service. Schedule

Monday–Thursday, 10:00 a.m. – 3:00 p.m. or 11:00 a.m. – 4:00 p.m. Occasionally, the employee may be expected to work extended hours to provide coverage for events, depositions, or other business needs, with as much advance notice as reasonably possible. Once a shift is established, the employee will be expected to consistently work the agreed-upon schedule.

Responsibilities

  • Greet and assist clients, colleagues, and visitors in a professional and welcoming manner
  • Provide reception coverage during scheduled breaks and lunch periods and serve as a backup when needed
  • Answer and direct incoming phone calls as needed
  • Maintain client confidentiality and handle sensitive information with discretion
  • Assist with the day-to-day maintenance of office and kitchen supplies, equipment, and common areas
  • Ensure common areas, including reception, kitchen, conference rooms, and copy areas are safe, clean, and welcoming
  • Perform light kitchen duties, including brewing coffee, loading and unloading dishwashers, wiping down counters and refrigerators, and stocking kitchen supplies
  • Assist with monitoring office and kitchen inventory and restocking supplies as needed
  • Assist with photocopying, scanning, filing, and other general administrative tasks
  • Handle incoming and outgoing mail and assist with distributing mail throughout the office
  • Prepare packages and assist with FedEx and other courier deliveries and pickups
  • Assist with setting up and cleaning up for internal meetings, lunches, and events as needed
  • Assist with maintaining conference rooms and other shared office spaces
  • Perform general office maintenance tasks, including transporting parcels, loading and unloading office supplies, files, and other materials, and assisting with light assembly or furniture relocation as needed
  • Assist with other routine office services and hands-on tasks that help keep the office running smoothly
  • Acts as a go-to resource for tasks that require assistance away from the reception desk, demonstrating a proactive and can-do attitude
  • Additional duties as assigned

Skills & Requirements

  • At least 2 years of white-glove customer-facing experience working in a fast-paced hospitality, office, corporate, or law firm setting
  • Superior active listening, attention to detail, organizational, communication, and interpersonal abilities
  • High School diploma required
  • Ability to use necessary computer applications including Microsoft Office Suite (Word, Outlook, Excel, etc.)
  • Ability to lift up to 50 lbs. (e.g., weight comparable to a water cooler water jug)
  • Flexibility in dealing with multiple priorities and shifts in priorities
  • Positive, professional and approachable presence
  • Ability to work independently and as part of a team
  • Exceptional reliability

Pay

$28.85-$33.65 per hour (based upon years of experience)
