Responsibilities

  • Answer all incoming phone calls (customer and/or informational) promptly and courteously, respond to voice mail messages, and redirect calls to the appropriate person.
  • Navigate payer systems and websites to determine coverage and patient financial responsibility.
  • Verify insurance and determine patient financial responsibility.
  • Collect co-pays appropriately.
  • Update patient demographics (e.g., address, phone numbers).
  • Obtain and/or ensure pre-authorization/medical necessity for procedures.
  • Run state license checks and OIG sanctions checks on providers; relay documentation.
  • Use the center’s IT systems to schedule, reschedule, and register patients for procedures.
  • Manage the release of information to providers and patients in compliance with HIPAA.
  • Run day-end reports from Meditech for unresolved items.
  • Access patient records and provide HIPAA-compliant release of PHI.
  • Scan, file, and manage paper documentation.
  • Fax or phone results as indicated.
  • Provide appropriate patient preparation materials and instructions; log dispensing.
  • Sort incoming mail; process correspondence, including credit card payments and payment plans.
  • Problem-solve to enhance the patient experience, even in the presence of barriers.
  • Complete outbound calls, such as appointment reminders, missed appointment recovery, and patient scheduling.
  • Coordinate and/or participate in the orientation and training of new staff under the guidance of the Center Director.

Requirements

  • One year of customer service experience; experience in a medical environment involving patient registration and health plan benefits is preferred.

Skills

  • Knowledge of data entry techniques.
  • Ability to learn various IT platforms to accomplish duties.
  • Understanding of health insurance benefits and ability to explain them.
  • Effective communication with patients, referrers, insurance providers, and billing offices.
  • Proficiency with computers, 10-key calculators, fax machines, and photocopiers.
  • Strong organizational skills.
  • Ability to establish and maintain effective working relationships with staff, referral sources, and patients.
  • Ability to maintain confidentiality.
