About the Role
Reporting to the VP of Human Resources, the Office Manager oversees the daily operations of the office and ensures an efficient, organized, and professional work environment within our Texas Regional Office. This position manages office administration functions, vendor relationships, facilities coordination, supply management, employee support services, and office events. The Office Manager serves as the primary point of contact for office operations and workplace experience, ensuring a welcoming environment for employees, visitors, candidates, and business partners. This role also partners closely with Talent Acquisition by supporting logistics, such as managing travel arrangements and accommodations for incoming employees, candidates, trainers, and company guests, and supports the VP of Human Resources with administrative projects.
Responsibilities
- Manage the front desk and lobby area, serving as the primary point of contact for visitors and guests.
- Welcome visitors, notify hosts of arrivals, and coordinate visitor access and meeting accommodations.
- Ensure conference rooms are clean, organized, and properly prepared for meetings, training sessions, visitors, and new hire orientations.
- Manage incoming and outgoing mail, deliveries, and packages.
- Maintain office equipment and oversee the general condition of office facilities.
- Monitor, order, and maintain inventory levels for office, kitchen, breakroom supplies, and snacks.
- Coordinate meal orders, catering services, and hospitality needs as required.
- Serve as the primary liaison with building management, service providers, and vendors.
- Coordinate office maintenance, repairs, and facility-related work orders from initiation through completion.
- Review and submit office-related invoices for processing and reconciliation.
- Maintain vendor records and evaluate vendor performance and service quality.
- Identify opportunities to improve front office operations and employee experience.
- Support Talent Acquisition activities by coordinating travel arrangements and accommodations for candidates, incoming employees, trainers, and business guests.
- Assist with onboarding logistics, including room reservations, workstation setup, and welcome materials.
- Support onboarding processes to ensure a positive candidate and new hire experience.
- Lead and facilitate Spirit Squad initiatives, meetings, and related activities.
- Plan and coordinate Spirit Squad events, celebrations, volunteer activities, and employee engagement programs.
- Coordinate employee recognition programs and workplace engagement efforts.
- Manage New Hire Get-to-Know announcements and other internal communications as assigned.
- Assist employees with lost or forgotten badges and manage temporary badge issuance and tracking.
- Prepare reports, presentations, correspondence, and other administrative documents.
- Provide administrative and project support to leadership and departments across the organization.
- Participate in cross-functional projects and special initiatives.
Qualifications
- High School Diploma or equivalent.
- 2-3 years of office administration or office management experience.
- Vendor and facilities management experience.
- Experience with Microsoft Office Suite, including Excel.
- Texas Driver's License and registration.
Preferred:
- Bachelor's Degree in relevant field.
- HR administration experience.

Pay
$26.00 - $30.00 per hour.
Schedule
This position reports onsite to our offices in The Woodlands, TX.
