About the Role

The Real Estate Office Manager oversees and manages the daily operational functions of the Real Estate Department to ensure all projects, programs, and activities flow smoothly and the department maximizes its potential efficiency.

Responsibilities

  • Support the daily needs of the VP of Real Estate, the Managing Director (CAPEX), Director of Off-Campus Properties, Director of Real Estate, and Property Managers, including scheduling group meetings, maintaining calendars, conducting research, and creating reports.
  • Participate in the development and administration of the department’s annual budget and identify opportunities for process and office management improvements.
  • Support the Real Estate Department and subsidiaries with invoice reconciliation, P-card reconciliation, budget amendments, project code requests, contract requests, and requisitions.
  • Assist in the preparation of presentations to the Chief Financial Officer.
  • Serve as a liaison to two LU Subsidiaries: River Ridge Mall and Seven & James, including but not limited to invoice entries, payroll, and maintaining daily sales reports.
  • Provide project management support, tracking progress and milestones, and driving deadlines.
  • Manage divisional time and absence matters and approvals.
  • Develop and maintain effective interpersonal relationships with Liberty staff and outside vendors.
  • Coordinate all travel arrangements and logistics as needed.
  • Strictly adhere to Liberty University policies, representing the University in an exemplary manner.
  • Work effectively as a team member, embracing and fostering LU’s Christian model and Mission – Training Champions for Christ.
  • Perform other duties as assigned.

Requirements

  • 4+ years of combined work experience in administrative/office management/coordination/Executive support.
  • Bachelor’s degree.
  • Exceptional attention to detail with strong organizational and time management skills.
  • Demonstrated high level of communication (verbal and written) and strong interpersonal skills.
  • Proven leadership skills; self-starter, driven, engaging, and optimistic.
  • Problem-solving skills and analytical abilities.
  • Computer proficiencies in Microsoft Office, Outlook, and a high aptitude for learning new software and systems.
  • Ability to articulate and defend the unique Christian educational mission and vision of Liberty University and its subsidiaries.
  • Individual must not be in default on any federal student or parent loan.
  • Individual must not be convicted of, or pled nolo contendere or guilty to, a crime involving the acquisition, use, or expenditure of federal, state, or local government funds, or be administratively or judicially determined to have committed fraud or any other material violation of law involving federal, state, or local government funds (CFR 668.14(b)(18)(i)).

Preferred Qualifications

  • Bachelor’s degree in a business-related discipline.
  • 5-7 years’ experience in an Administrative Assistant position.
  • Experience with Concur, BuyLU, P-card, and Infor.
  • Knowledge of Banner.
  • Prior real estate experience.

  • Ability to effectively communicate both verbally and in writing to convey clear, well-articulated information.
  • Ability to understand, speak, and write English in order to convey messages and correspond in an articulate and professional manner.
  • Public communication skills that allow professional representation of Liberty University.
  • Strong organizational skills.
  • Computer skills.
  • Problem-solving: Intuitively able to reason, analyze information and events, and apply judgment in order to solve problems of both a routine and complex nature.

Physical and Sensory Abilities

  • May be required to travel to main campus occasionally.
  • May be required to sit to perform deskwork or type on a keyboard.
  • Regularly required to hear and speak in order to effectively communicate orally.
  • Regularly required to stand, walk, and climb stairs to move about the campus.
  • Handle materials, reach overhead, kneel, or stoop in order to conduct business.
  • Regularly lift 10 or fewer pounds.

Working Conditions

  • Work environment is a climate-controlled setting, well-lighted, with a moderate noise level.
  • Working environment may include facilitation of events outdoors occasionally.

Driving Requirements

If the employee is required to travel in performing the duties and responsibilities of the position, the use of one’s personal vehicle (or LU vehicles) may be required. Proof of a valid driver’s license, an acceptable DMV record, LU Driving Approval, and liability insurance is required when driving in the performance of the employee’s position.

Pay

$50,000.00 - $60,000.00

Schedule

Full time, onsite.
