About the role

Luminosity Supply & Solutions is a Denver-based distributor of premium lighting, controls, and electrical products serving commercial, industrial, and residential markets throughout the Rocky Mountain region. We are a small, close-knit team of 5–6 dedicated professionals who take pride in delivering expert product knowledge, responsive customer service, and reliable supply chain solutions to our clients and partners. We are growing and looking for an energetic, highly organized Office Manager to become a cornerstone of our daily operations.

Responsibilities

  • Serve as a contact for customer inquiries, providing responsive and knowledgeable support to our sales team.
  • Aid in order entry, quote preparation, follow-ups, and ensuring customers receive accurate and timely information on product availability, lead times, and pricing.
  • Work alongside the team to assist with day-to-day warehouse operations, including helping to coordinate incoming shipments, verifying purchase orders against packing slips, and maintaining organized inventory records.
  • Bridge communication between the sales floor and the warehouse.
  • Negotiate pricing, terms, and special project quotes with manufacturer representative agencies and vendors.
  • Oversee the operation and routine maintenance of all office equipment, including computers, printers, phone systems, and shipping/receiving tools.
  • Manage office supply inventory, coordinate with IT and facility service providers, and ensure the workspace remains organized and fully functional at all times.
  • Participate in manufacturer training sessions, rep agency product demonstrations, and industry seminars to continuously build and maintain a strong working knowledge of our lighting, controls, and electrical product lines.
  • Share relevant knowledge with the broader team to support sales effectiveness.
  • Handle day-to-day administrative duties including answering phones, managing correspondence, maintaining filing systems (digital and physical), supporting accounts receivable and payable processes, and assisting management with reporting and special projects as needed.
  • Handle monthly Newsletter, blog and weekly social media postings.

Requirements

  • Experience: 3+ years of office management or administrative experience required. Background in distribution, wholesale, electrical, lighting, or construction is a strong plus.
  • Software Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook); QuickBooks experience preferred, INFORM ERP experience helpful but not mandatory.
  • Communication: Excellent verbal and written communication skills; professional phone and email etiquette.
  • Negotiation: Comfortable negotiating pricing and terms with vendors and rep agencies.
  • Organization: Exceptional multitasking and organizational abilities in a fast-paced environment.
  • Team Player: Collaborative attitude with the ability to work effectively in a small, close-knit team.
  • Education: High school diploma or GED required; Associate’s or Bachelor’s degree in Business preferred.

Qualifications

  • Detail: Detail-oriented with excellent organizational skills.
  • Physical Demands & Work Environment: Works primarily in a professional office environment adjacent to a warehouse and distribution floor. Requires prolonged periods of sitting and computer work, as well as regular movement between the office and warehouse areas. Occasional lifting of up to 30 pounds may be required (e.g., product samples, supply boxes, or small shipments).
  • Work Schedule: Monday – Friday, standard business hours.
  • Work Setting: In-person, Denver, CO.

Compensation

Salary: 55, 000–65, 000 annually, based on experience.
