About the Role

The Office Manager & Executive Assistant is a dual-function role serving as the operational backbone of our 25-person Boston corporate office. This role combines office operations leadership with executive-level support, ensuring the office runs smoothly while providing high-trust support to senior leadership.

Responsibilities

  • Manage operations for an office of 25 employees, managing facilities, vendor relationships, building management contacts, and day-to-day office systems.

  • Own conference room scheduling, AV setup, and meeting logistics for internal and external gatherings including board meetings.

  • Maintain and order office supplies, snacks, equipment, branded apparel, and beverages.

  • Act as primary point of contact for building management; submit and track service requests, coordinate repairs, and manage access for guests and contractors.

  • Function as office reception, distributing mail, greeting incoming clients and job candidates, and acting as liaison for all office guests and employees.

  • Maintain a clean, organized, and welcoming office environment that reflects the EMF brand and culture.

Qualifications

  • 3+ years of experience in an office management, executive assistant, or chief of staff support role.

  • Demonstrated experience supporting C-suite or senior leadership with calendar management, travel, and executive communications.

  • Exceptional written and verbal communication skills.

  • Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability.

  • Discretion and professional judgment when handling sensitive or confidential matters.

  • Detail-oriented and organized with ability to build processes, not just complete tasks.

  • College degree preferred or equivalent professional experience.
