Position Summary The Office Manager & Broker Care Concierge is a dynamic leadership role that serves as the operational heart of the branch. This individual is responsible for both managing the branch office and its Broker Care staff while also directly providing a five-star, concierge-level experience to our esteemed brokers. The ideal candidate is a proactive and meticulous professional who leads by example, seamlessly executing daily administrative, marketing, and listing support tasks while fostering a collaborative, high-performance culture. This position reports to the Broker Care Manager and the Branch Manager. Roles & Responsibilities Branch Leadership & Operations Management Oversee all aspects of the office environment, ensuring it is professional, organized, and client-ready at all times in keeping with luxury brand standards.Support the hiring, training, development, of office Broker Care staff, conduct performance reviews, manage schedules, and foster a culture of teamwork and excellence.Manage inventory, budgets, and procurement for all office supplies and marketing materials.Ensure all office equipment (copiers, A/V systems) is fully functional, troubleshooting issues and coordinating with vendors for maintenance.Manage all branch-level records and agreements, ensuring timely renewals. Concierge-Level Broker & Listing Support Serve as the primary point of contact for broker inquiries, providing timely, accurate, and gracious support.Lead the new broker orientation for the branch to ensure a smooth transition into the firm.Manage the full listing lifecycle in the Northwest Multiple Listing Service (NWMLS) and RSIR Connect, from data entry and verification to status changes.Perform initial compliance checks on listing documents before routing for final approval.Act as a knowledgeable liaison between brokers and other departments, including Accounting, Marketing, and IT, to resolve issues efficiently.Coordinate with vendors for the timely installation and removal of property signage. Marketing & Brand Execution Produce and customize high-quality, on-brand marketing collateral (brochures, flyers, presentations) using company templates and platforms. Assist and guide brokers in leveraging the firm’s suite of proprietary marketing technologies.Perform quality control audits of listings on syndication platforms (e.g., sothebysrealty.com, Zillow) to ensure brand consistency and data accuracy.Prepare, print, and professionally bind materials for listing presentations and client meetings. Branch Culture & Event Coordination Partner closely with the Branch Manager, providing regular updates on broker activity, staff performance, and operational matters.Plan, budget, and execute branch sales meetings, office events, and client receptions.Warmly greet all brokers, clients, and guests, creating a welcoming and professional atmosphere that serves as the first impression of the brand.Actively participate in company-wide initiatives to promote a positive and unified team culture. Experience Required Qualifications Minimum of 2 years of management experience in an office setting, including direct supervision of staff. High proficiency with the Microsoft 365 Suite (Outlook, Word, Excel, PowerPoint). Preferred Qualifications Associate or bachelor's degree in business administration, communications, or related field. Knowledge of Washington State real estate practices and procedures. Compensation & Benefits The salary range for this role is $69,103-$86,776, with a final offer based on the candidate’s experience and skills. RSIR offers comprehensive benefits after a 60-day waiting period including medical, dental, vision, and supplemental coverage; paid time off (PTO); paid holidays; bereavement pay; paid community service time. In addition, we offer participation in a 401(k) retirement plan with company match after 6 months of employment. Work Environment & Expectations This position is an exempt, full-time role based in the Seattle/Bellevue, WA region, and is ineligible for overtime. Standard office hours are Monday–Friday, 8:30 a.m.–5:00 p.m. On occasion, this role may be required to flex working hours to accommodate company training and events schedules.
