Responsibilities
- Maintain project documentation including RFIs, submittals, meeting minutes, correspondence, and contract records.
- Track contractor submittals and shop drawings and coordinate review with project staff and VDOT personnel.
- Maintain quantity tracking logs and documentation for progress payment estimates in VDOT SiteManager.
- Aid in the preparation and documentation of change orders, supplemental agreements, and force account work.
- Maintain document control systems and electronic project files in accordance with VDOT documentation requirements.
- Prepare meeting minutes for progress meetings, coordination meetings, and partnering meetings.
- Aid in the preparation of monthly progress reports and project status reports required by VDOT.
- Support project staff with contract administration documentation, records management, and contractor correspondence.
- Aid in the preparation of Contractor Performance Evaluations (CPE) and project closeout documentation.
Requirements
- Bachelor’s degree in Civil Engineering, Construction Management, or related field preferred.
- Minimum 5–10 years of experience in construction documentation or project administration.
- PREFERRED: Engineer-in-Training (EIT) certification.
- NICET Level II or III certification.
- OSHA 10-Hour Construction Safety Training.
- Experience with VDOT SiteManager or similar DOT documentation systems.
Qualifications
- Must be able to pass a background check.
- Must be able to pass a drug test.
Skills
- Strong organizational skills.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite.
- Knowledge of VDOT SiteManager or similar DOT documentation systems.
