We are seeking a highly organized and service-oriented Office Coordinator to support our Omaha office. In this role, you'll serve as the central point of contact for office operations, employee engagement, project support, and business development administration, helping create an environment where employees can focus on delivering exceptional client solutions. As a key member of the team, you'll help ensure efficient day-to-day office operations, foster a positive workplace culture, support project teams, and contribute to local business development activities. Responsibilities Office Operations & Facilities Support Welcome and assist employees, visitors, clients, and guests.Coordinate visitor access, seating arrangements, badges, and office orientation.Coordinate office repairs, maintenance requests, and facility-related activities.Manage office/kitchen supplies, shipping, mail distribution, printing needs, and courier services.Support health, safety, security, and environmental (HSSE) initiatives, including training coordination.Maintain organization of common areas, storage spaces, and office resources.Coordinate vendor visits and monitor completion of facility service requests.Assist employees with locating office resources, equipment, and workplace information. Office Administration Support onboarding activities for new employees.Organize office meetings, communications, and internal announcements.Arrange catering, lunches, and event logistics.Plan and coordinate employee engagement activities, celebrations, volunteer events, and team-building programs.Support conference participation, sponsorships, community outreach, and client-facing events.Prepare, print, assemble, and distribute project documentation and materials. Here's what you'll need High school diploma or equivalent required; associate's or bachelor's degree preferred.3-5 yrs Experience in office coordination, administrative support, office management, project administration, or a related role.Strong organizational and multitasking skills with the ability to manage competing priorities.Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.Excellent verbal and written communication skills.Strong customer service mindset with the ability to build positive relationships across all levels of the organization.Ability to work independently, exercise sound judgment, and proactively solve problems.
