About the Role
This is a part-time, contract role reporting to the Director of People Operations. The position requires onsite work in Alameda, Monday through Friday, 9am–1pm (remote work is not eligible).
Responsibilities
- Serve as the main point of contact for daily office operations, including:
- Maintaining kitchen, breakroom, and supply inventory
- Handling weekly ordering and restocking of common areas
- Managing inventory of company-branded swag and promotional products
- Ensure conference rooms are organized, properly equipped with AV equipment, and prepared for key meetings
- Assist the G&A team (primarily CEO, COO, and Director of People) with administrative tasks, scheduling, document organization and retention, and expense report processing
- Support onboarding logistics for new hires, including desk setup, badge provisioning, and welcome package preparation
- Assist with interview scheduling, onsite interview facilitation, and candidate experience
- Plan and execute internal team events, lunches, company celebrations, and off-sites
- Support the Commercial team with trade show and travel logistics
- Provide support for onsite meetings
Requirements
- Experience: 2+ years of administrative, office coordination, or site operations experience
- Technical Skills: Proficiency with Microsoft Office 365; experience with workplace communication tools (Slack, Teams); familiarity with AI efficiency tools and platforms
- Communication: Excellent verbal and written communication skills with a customer-service-oriented mindset
- Organization: Strong multi-tasking and problem-solving skills with high attention to detail
- Physical Requirements: Ability to lift up to 25 lbs (packages, paper reams, event supplies) and manage light room reconfigurations
- Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
