About the role
Boston University's Department of Biology seeks an Office Coordinator to act as the primary and first point of contact for visitors to its main administrative office.
Responsibilities
- Handling inquiries, including phone calls, emails, web submissions to the Biology Department main office according to department priorities and protocol.
- Providing administrative support for Biology's large teaching and research operations particularly its undergraduate program.
- Assisting visitors with inquiries, providing administrative support by either directly addressing or directing those to other Biology staff, faculty and/or central units.
- Ordering supplies, sorting mail, scheduling room reservations, and conducting initial student screenings during advising.
- Aiding with departmental events and department deliveries, and maintaining departmental databases.
- Supervising Work Study students, ensuring that operational procedures and basic etiquette are followed, and accurate information is disseminated to dept stakeholders.
- Acting as the primary contact point for all visitors, incoming phone calls, emails, website submissions, and students and faculty to the Biology Department main office.
- Filtering and disseminating materials and information in a timely manner to the appropriate destination point in a professional manner.
- Preparing and maintaining department information lists for interdepartmental use.
- Maintaining smooth operation of front desk.
Requirements
- Associate's degree required, 1-3 years of relevant work experience.
- Good interpersonal, written and oral communication skills.
- Able to function independently, prioritize work with tact and discretion.

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, training and internal pay comparison.
