Job Summary

Under the direction of the Office Manager, the Office Clerk provides general administrative, clerical, and customer service support for the school office. Duties include reception, student records management, data entry, document preparation, office coordination, and assisting students, families, staff, and visitors.

What You Will Do

Administrative & Office Support

  • Creates, maintains, reviews, and organizes files, forms, records, correspondence, and reports for various school functions.
  • Performs data entry into various databases, including PowerSchool and other student information systems.
  • Prints reports and prepares routine correspondence, forms, and other documents.
  • Uses computer applications including word processing, spreadsheets, email, calendars, and database software to complete assigned duties.
  • Affords assistance to administrators and school staff with clerical and administrative projects.
  • Maintains office supplies, forms, and materials.
  • Processes and distributes incoming and outgoing mail and packages.
  • Issue substitute and visitor badges in accordance with school procedures.
  • Maintains, organizes, and fulfills requests for cumulative student records (cum files).

Customer Service

  • Greets and assists students, parents, staff, visitors, and community members in a courteous and professional manner.
  • Answers and routes incoming telephone calls; provides general information and responds to routine inquiries.
  • Receives, screens, and directs visitors in accordance with school safety and visitor procedures.
  • Affords assistance with translation and interpretation services (English/Spanish), as needed.

Student Records & Data Management

  • Affords assistance with maintaining accurate student records and confidential files in accordance with school policies.
  • Retrieves information from manual and electronic records to prepare reports and correspondence.
  • Affords assistance with student enrollment, registration, withdrawals, transfers, and cumulative records, as assigned.
  • Supports data verification and record maintenance in student information systems.

General School Office Support

  • Calls parents to notify them of student absences and determine the reason for the absence.
  • Uses the telephone to request and provide routine information to parents and school district personnel.
  • Affords assistance with translation and interpretation services (English/Spanish).

Professional Development & Other Duties

  • Participates in training, workshops, and professional development activities.
  • Performs other related duties as assigned.

Qualifications

  • High School Diploma, GED, or equivalent (required).
  • Ability to read/write/speak in Spanish (preferred).
  • Maintain a courteous and positive attitude.
  • Requires prolonged periods of sitting, with intermittent standing and walking throughout the workday.
  • Requires frequent use of a computer, keyboard, telephone, and other standard office equipment.
  • Requires sufficient manual dexterity to operate office equipment, enter data, and handle documents.
  • Requires the ability to reach, bend, stoop, kneel, and twist occasionally to retrieve or file records, office supplies, and materials.
  • Requires the ability to lift, carry, push, and pull office equipment, files, boxes, and supplies weighing up to 25 pounds on an occasional basis.
  • Requires visual acuity to read printed materials and computer screens and the ability to communicate effectively in person and by telephone.
  • May occasionally move throughout the campus to deliver materials, assist staff, or attend meetings.

Compensation And Benefits

  • Salary Rate: $24.38 / Hourly
  • Medical, Dental, Life, and Vision Coverage
  • Work Schedule: Monday - Friday | Full-time | 12 Month Classified Hourly work calendar | 240 Work Days
