Department Job Description Summary
The Hospital Office Clerk provides administrative and clerical support to ensure the efficient operation of the Business Office. This role is part-time (M-F, 20-30 hours per week), based on-site in Miami Beach.
Responsibilities
- Handle heavy phone contact in a courteous manner.
- Transfer calls to the appropriate area of the hospital or the Business Office Department.
- Take messages when necessary.
- Daily pick up correspondence from the Mail Room, sort and open all mail.
- Distribute all personally addressed and non-patient related mail.
- I.D., scan, and index all Business Office patient mail.
- Daily work on IB requests from attorneys offices, fax, fedex or send via certified mail, depending on which applies.
- Daily prepares for shipment all Fed Ex request and Certified Mail requests for the department.
- Maintain archive logs for incoming and outgoing boxed records.
- (Occasionally assist Team Lead on the request of boxes from archival vendor and return boxes as soon as requestor has finished).
- Keep supply closet organized and keep control of inventory to monitor the need of supplies.
- Give request of supplies to be ordered to the Supervisor.
- Occasionally, pull implant invoices from A/P files.
- Ocassionally, as work permits, opens and sorts mail for Physician Billing Staff and distributes accordingly.
- Consistently demonstrates the ability to organize work, recognize and establish priorities, and complete work without creating backlogs.
- Serves as department courier (Internally delivers/picks up documents from Administration, Human Resources, Accounts Payable, etc.) on a daily basis.
- Keeps inventory of coffee, cream, sugar and stirrers and picks up supplies from Dietary Department as needed.
- Accommodates personal schedule when occasional overtime is required for departmental needs.
- Presents a well groomed, professional image.
- Keeps own area and common areas clean and well-organized.
- Performs other job related duties assigned by the office supervisor and/or management staff.
Qualifications
- Education: High School Graduate or equivalent level of training preferred.
- Experience: One year on related office experience preferred.
- Hospital/healthcare preferred.
