About the role
As an Office Clerk, you will handle customer orders for computer entry and solve complex customer service issues in collaboration with customers and the sales management team.
Responsibilities
- Provide excellent service and support to our customers and internal teams.
- Process and enter customer order overrides accurately and efficiently.
- Support customer service operations by processing customer credits and EDI orders.
- Create and maintain new product item records, ensuring accuracy and completeness of product data.
- Manage invoice scanning and maintain electronic records for efficient retrieval and audit purposes.
- Break down and organize invoice batches for processing.
- Investigate and resolve third-party ordering and system issues affecting the sales organization.
- Cancel outdated or unfulfilled will-call orders to maintain accurate order records.
- Assist with maintaining data integrity across multiple business systems.
- Partner with Sales, Warehouse, Purchasing, and Customer Service teams to resolve operational issues.
- Identify process improvement opportunities that increase efficiency and accuracy.
- Provide backup support for other customer service and operational functions as needed.
- Generate and send invoices to customers.
- Follow up with customers regarding overdue payments.
- Ensure customer satisfaction by answering calls and responding to customer inquiries or requests in a timely manner.
- Work with sales consultants and managers for pricing overrides, special products, and problem resolution with customer accounts.
- Handle multiple office duties such as incoming calls, customer service, meeting arrangements, etc.
- Assist customers and sales staff with new account set up and troubleshooting.
- Perform additional administrative and operational duties as assigned.
Requirements
- 2+ years of relevant experience and/or a 2-year college degree.
- Excellent communication skills both internally and externally and at all levels.
- A passion for learning and growing with us.
- Proven ability to work independently and reliably.
- Attention to detail is critical; accuracy is a must.
- Ability to find ways to increase efficiency.
- Effective problem-solving skills when encountering new and unique challenges.
- General knowledge of Microsoft Suite (Word, Excel, Outlook).
Schedule
Monday to Friday, 8:00 AM – 5:00 PM.
