About the role
The Office Associate contributes to the efficient operation of a branch office and provides administrative support. Duties include greeting and assisting employees, customers, clients, and vendors, processing sales and purchase orders, managing customer inquiries, preparing payments, filing documents, supporting office staff, and performing reception duties.
Responsibilities
- Ensure outstanding customer service by providing a friendly environment and greeting and assisting everyone.
- Process sales orders and purchase orders using Oracle.
- Review and ensure the accuracy of sales and purchase orders before processing them through the order processing system.
- Use the customer inquiry function for accounts receivable questions and reply to customers or sales reps.
- Prepare and process checks and cash received from customers.
- Generate payment orders for invoices from vendors and suppliers.
- Check inventory to determine the availability of requested merchandise.
- File documents according to company SOP and retrieve them as needed.
- Support office staff, sales, and warehouse operations by assisting with various tasks.
- Organize and maintain delivery and receiving related documents and logs.
- Communicate with sales associates, warehouse, and office personnel.
- Answer calls, take and relay messages, and respond to requests for information.
- Provide information to direct callers to the appropriate individual.
- Assist with the quarterly physical inventory (PI), understanding and following company SOPs and being able to enter data accurately.
- Perform other related duties as required.
Requirements
- A High School Diploma or GED.
- Experience with MS Office – Excel, Outlook, and Word.
- Data entry keyboarding skills without error at a moderate rate of speed.
- Effective communication skills internally and externally via phone, email, and in person.
- Ability to speak clearly, concisely, and effectively.
- Ability to listen to, and understand, information and ideas as presented verbally.
- Ability to assemble, sort, and file documents.
- Ability to organize and prioritize tasks to meet deadlines.
- Knowledge of general office operations.
Qualifications
- Must be authorized to work in the United States on a full-time basis for any employer.

- Keyboarding skills without error at a moderate rate of speed.
