About the role
The Office Associate plays a crucial role in supporting the efficient operations of a branch office. This position provides administrative support and ensures that offices run smoothly while delivering excellent service to clients and customers.
Responsibilities
- Ensure outstanding customer service by greeting and assisting employees, customers, clients, and vendors.
- Process sales orders and purchase orders using Oracle.
- Review and process sales or purchase orders to ensure they are correctly entered into the system.
- Use the customer inquiry function for accounts receivable questions and respond to inquiries from customers or sales representatives.
- Prepare and send payment orders for invoices from vendors and suppliers.
- Check inventory to confirm the availability of requested merchandise and file documents according to company SOPs.
- Support office staff, sales, and warehouse operations by assisting with various tasks such as organizing delivery and receiving documents and maintaining logs.
- Communicate with sales associates, warehouse personnel, and office staff to provide information and resolve issues.
- Absorb and relay information to customers and suppliers regarding problems or complaints.
- Assist with the quarterly physical inventory (PI), understanding the processes and accurately entering data.
- Perform reception duties, including greeting visitors, accepting deliveries, and relaying messages.
Requirements
- High School Diploma or GED.
- Experience with MS Office applications (Excel, Outlook, Word).
- Data entry and keyboarding skills without errors at a moderate speed.
- Effective communication skills, both internally and externally, via phone, email, and in person.
- Ability to listen and understand information and ideas presented verbally.
- Ability to assemble, sort, and file documents.
- Organizational and prioritization skills to manage multiple tasks.
- Knowledge of company SOPs and ability to locate necessary SOPs when needed.
