About the Role
This is a 1099 Contractor position that must sit in the PST timezone and is fully remote. The Office & Sales Operations Coordinator is the central point of contact for every client, employee, and referral source. Your energy directly influences the team and company culture. This role supports multiple business entities—currently two dog training companies and a real estate company—with plans to expand further. The position is dynamic and will evolve as the company grows.
Responsibilities
Daily Duties
- Greet everyone with uplifting, positive energy
- Review daily schedule and confirm all appointments
- Follow up on all leads as needed
- Schedule all meetings, lessons, demos, and other consultations
- Follow up on team tasks to ensure accountability
- Pass notes, updates, and cancellations to the appropriate person in a timely manner
- Answer general questions about services, programs, and training methods
- Respond to missed calls and voicemails promptly
Weekly Duties
- Gather all company metrics (sales, demos, leads) and discuss with the owner
- Meet with the manager to review the previous week and plan the current week
- Send a weekly "hunting report" highlighting team successes
- Distribute the weekly schedule of events to the team
- Send requests for online reviews/referrals (3 weeks after group classes)
- Inventory supplies and sales items, ensuring timely reorders to maintain stock (e.g., collars at each location)
- Research marketing events and community involvement opportunities for the businesses
Monthly Duties
- Review team and personal goals with the owner
- Plan monthly personal and team goals with the owner and manager
- Send out team monthly goals
- Connect with referral partners (various businesses)
Key Performance Indicators (KPIs)
- Percentage of demos booked from leads
- Google, Yelp, and Facebook reviews (minimum 10 per month)
- Marketing events (2 or more per month)
