Ocean Import Supervisor

About the role

This role supports the Import Manager in executing operational goals and serves as a key liaison between the operations team and leadership to maintain process efficiency and high service standards.

Responsibilities

  • Receive and track customer bookings/orders.
  • Send shipping instructions overseas according to customer instructions or established SOPs.
  • Notify customers of arrival, charges, delays, and Customs/Exam holds; advise applicable charges immediately upon notification.
  • Follow company business process team guidelines.
  • Process Customs entries: classify invoices, file RLF entries, enter electronic invoices; own FDA-related entries.
  • Review and prepare documentation with accuracy, including Customs classification, IT number, commercial invoices, and details.
  • Transmit information to ABI, verify results, make corrections, and monitor release of customs and Other Government Agency (OGA) clearances (USDA, FCC, DOT, etc.).
  • Check Customs release details and resolve discrepancies.
  • Transmit payment of Customs duties as needed.
  • Manage exceptions with involved parties and customers.
  • Ensure files contain all necessary document copies in proper sequence.
  • Coordinate entry and break bulk shipments.
  • Work with Sales on account implementation to ensure smooth transition from Sales to Operations.
  • Answer all customer requests in accordance with company standards and guidelines.
  • Monitor shipments moving on an IT number; provide release, payment, and delivery instructions within the allotted free time.
  • Collect COD monies owed before arranging delivery to the customer.
  • Handle and manage all customer contact at file level regarding exceptions.
  • Ensure highest level of data quality by processing shipments accurately.
  • Provide accurate job costing forecasts; ensure all payables, receivables, and accruals are set and properly managed per company rules and guidelines.
  • Work with vendors and overseas offices to dispute incorrect payables at the earliest opportunity to maintain accurate accounting.
  • Bill/invoice each file to the respective customers, paying close attention to payment terms for the responsible party.
  • Assure Original Bill of Lading requirements are met in a timely manner.
  • Dispatch freight for delivery and maintain communication with truckers throughout delivery.
  • Confirm Proof of Delivery (POD) for each shipment and update system with POD information.
  • Update Track and Trace proprietary applications.
  • Assist Sales, Department Manager, and colleagues in compiling quotes by providing rates, tariffs, etc.
  • Assure that files contain all necessary documents as set by company standards and are filed promptly in the appropriate location.

Supervisory responsibilities

  • Provide input to the Import Manager for employee performance evaluations.
  • Recommend employee hiring, terminations, and promotions.
  • Identify and resolve personnel issues.
  • Provide ongoing coaching and mentoring of staff to develop skills to optimum levels.

Qualifications

  • High School diploma or GED.
  • 4–6 years of experience in ocean imports or a combination of education and expertise.
  • Experience and knowledge of import entry procedures, compliance, rules, and regulations.
  • FDA experience required.
  • Knowledge of ISF and ISF procedures.
  • Knowledge of POA and FPOA entry processes.
  • Good working knowledge of FDA and OGA transactions.
  • Knowledge of requirements related to the Lacey Act and PPQ Form 505.
  • Knowledge of TIB/Carnets.

Pay

The annual pay range is $75,000–$85,000 per year, depending on qualifications and experience.
