About the Role

Hackensack Meridian Health is seeking a dedicated Nursing Unit Secretary to join our Brain Trauma Unit at JFK Johnson Rehabilitation Institute, an acute inpatient program providing comprehensive care for adults recovering from brain injuries. This role supports the professional nursing staff by performing a variety of administrative tasks, communication functions, and acting as a receptionist to ensure smooth operations on the unit.

Responsibilities

  • Performs a variety of administrative tasks to support the daily workflow of the nursing unit as directed by the Registered Nurse in Charge.
  • Acts as a liaison in receiving patients, visitors, and hospital personnel.
  • Manages the unit's communication systems, including answering phones, call-bells, and Careboard, to address the needs of patients, families, doctors, and nursing staff.
  • Ensures adequate maintenance of supplies and equipment to support patient care and unit functionality.
  • Attends NUS meetings and unit-based staff meetings.
  • Supports nursing staff as needed.
  • Prepares, compiles, and maintains patient medical records, including chart documentation, ensuring accurate labeling and filing using appropriate patient identifiers.
  • Enters physicians' orders into the computerized order entry system.
  • Prepares discharge and/or transfer documentation.
  • Assists physicians in retrieving records and automated diagnostic results.
  • Maintains timely Patient Horizon Scheduler (PHS).
  • Assists the Nurse Manager with preparing unit-based documents such as meeting minutes and memos.
  • Performs other unit-based clerical duties as required.
  • Participates in daily rounds to ensure patient safety and promote a positive patient and family experience.
  • Performs environmental rounds to ensure a safe and risk-free environment, following up on identified issues to completion.
  • Takes necessary steps to reduce risks and reports all environmental and safety hazards to the registered nurse or charge nurse.
  • Assists in emergency situations when necessary.
  • Attends unit-specific staff meetings to stay informed about changes in the department and medical center.
  • Performs other duties and/or projects as assigned.
  • Adheres to HMH's Organizational and Managerial competencies and standards of behavior.
  • Lifts a minimum of 5 lbs., pushes and pulls a minimum of 5 lbs., and stands a minimum of 1 hour per day.

Requirements

  • High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
  • Computer proficiency.

Preferred Qualifications

  • 1-2 years of prior experience as a secretary in an acute care setting.
  • Exceptional interpersonal skills and demonstrated functional competencies.

Pay

Minimum starting rate of $18.65 per hour. The posted rate is a reasonable good faith estimate of the minimum base pay for this role and may vary based on factors such as labor market data, experience, education, certifications, skills, geographic location, internal equity, budget, and grant funding. Full-time and part-time positions (20+ hours/week) are eligible for a comprehensive benefits package, including health, dental, vision, paid leave, tuition reimbursement, and retirement benefits. Certain positions may also be eligible for shift differentials and performance-based incentives.
