Job Duties
- Receives all new patient referrals, builds charts, circulates new patient form, and works closely with front office supervisor to monitor status of referral.
- Fax thank you letter to referring provider.
- Call patients when referral received, obtain insurance information and any missing basic patient information to complete chart.
- Provides initial insurance information to preauthorization team.
- Obtains a release of information from patient when needed.
- Contacting referring provider and other pertinent facilities for additional records required by Beacon before the patient is seen.
- Communicates appropriately with back-office team and providers for scheduling parameters for specific referral.
- Communicates with patient to arrange new patient appointment and set expectations around first visit needs.
- Closes out referral and inputs information in electronic chart.
- Manages current and future electronic schedules to ensure appropriate, timely scheduling.
- Sends new patient information packets including map, ROI’s, etc. when needed.
- Maintains new patient spreadsheet daily and monthly referral summaries.
- Maintains unscheduled new patient appointments to ensure patients are scheduled within the mandatory timeframe.
- Operates multiple medical software programs including Microsoft office.
- Responsible for documenting and maintaining processes for new patient coordination.
- May operate as back-up front office, checking in patients and participating in the phone answering throughout the day.
- Creates and supplies clinic with new patient packets.
- Collaborates with fellow NPCs to ensure cross training, coverage, and organization between workflows.
