Responsibilities
- Facilitating and supporting new employee orientation class activities with a detailed schedule
- Presenting briefings to large classes on relevant information
- Run, analyze and distribute data utilizing Microsoft Excel and government databases
- Reviewing data submitted by potential employees to confirm their professional qualifications, ensuring employees meet all pre-employment requirements and minimum job qualifications
- Loading and updating data into HRMS and HRMS Discoverer for new employees
- Scheduling potential employees for upcoming orientation weeks, including verifying personal documentation
- Serving as main point of contact for all new hires, providing them with reporting instructions and assistance as needed prior to and during new employee orientation
- Corresponding with various departments to ensure training, processing, and scheduling are conducted smoothly
- Checking employment eligibility through E-Verify
- Providing exceptional customer service to all potential and current employees
- Managing in-processing, delivery and transportation for Federal Official Personnel Files, CACs and other new employee onboarding paperwork
- Carrying and responding to the assigned Duty Phone during and after work hours
- Working flexible hours due to varying schedules and customer needs
- Other duties as assigned
Qualifications
- Must be able to successfully undergo a government investigation in order to obtain and maintain a security clearance
- Minimum High School Diploma or equivalent required
- Associates Degree or Bachelors Degree preferred
- Minimum two years' customer service experience required
- Proficiency in Microsoft Outlook and Word required
- Proficiency in Microsoft Excel required
- Proficiency in working on a computer with a Microsoft operating system required
- Data entry experience preferred
- Professional and effective communication skills required, in-person, phone and email
- Adept at and confident in public speaking
- Extremely detail-oriented and focused on accuracy
- The ability to multitask and effectively work within multiple databases
- The ability to adapt to changing situations and processes
- The ability to quickly gain advanced knowledge of U.S. Coast Guard requirements, maritime credentials, and various processes
- Works well in a team setting
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer
- Prolonged periods of physically moving, standing and presenting (4+ hours a day)
- Must be able to lift up to 15 pounds at times
- Must be able to navigate to/from/within office facilities, Naval Station Norfolk Pass and ID office, and contract hotel
