About the role

Jackson Lewis P.C., focused on employment and labor law since 1958, helps employers develop proactive strategies, strong policies, and business-oriented solutions to cultivate high-functioning workforces. The New Business Intake (NBI) Specialist will handle data input into the NBI System for matter opening and submit new business requests in compliance with firm and client policies.

Responsibilities

  • Complete New Client/New Matter, Existing Client/New Matter, and Maintenance Requests for assigned office(s):
    • Analyze legal documents (e.g., class action complaints, EEOC Charges, NLRB Charges, Demand Letters, Employment Agreements) to extract required information for opening new matters, including parties, adverse counsel, area of law, sub-area of law, forum-venue, and purpose of engagement.
    • Utilize Intapp Open features (filters, activities tab) to determine next steps and respond to status inquiries.
    • Communicate with attorneys and support staff to obtain additional information as needed.
    • Work with legal support staff to obtain draft engagement letters for new matters.
    • Extract rates and billing information from documents or internal systems.
    • Submit maintenance requests to update or close existing clients/matters.
  • Maintain Engagement Records for assigned office(s):
    • Update records as cases evolve (e.g., agency action to litigation to appeal).
    • Update case personnel changes (e.g., case manager, additional working attorneys).
    • Update client-specific records generating monthly reports.
    • Close Engagement Records promptly to maintain data integrity.
  • Research and respond to inquiries from attorneys, managers, paralegals, and assistants.
  • Read, interpret, and synthesize data from various sources for the conflicts team.
  • Assist with additional projects as directed.

Requirements

  • Bachelor’s degree or commensurate experience.
  • 2-4 years of legal experience; employment law experience preferred.
  • 3-5 years of experience within a law firm; labor and employment field preferred.
  • Experience with Intapp Open, Microsoft Suite, and legal software (e.g., intake software, document management systems).

Skills

  • Strong attention to detail, analytical abilities, and resourcefulness.
  • Ability to communicate effectively with attorneys, staff, and coworkers.
  • Proven project execution skills and a strong client service attitude.
  • Understanding of technical legal terminology and court/agency documents (e.g., lawsuits, discrimination charges, demand letters, NLRB charges).
  • Strong organizational and multitasking skills; ability to prioritize and execute tasks.
  • Ability to work independently and as part of a team.
  • Strong verbal and written communication skills.

Pay

For the New York Metro and Albany, NY areas, the expected salary range for this position is between $29.50 and $36.00 per hour. Actual compensation will be determined based on experience and other factors permitted by law.
