Job Responsibilities
- Safely operate Mobile Medical Units, ambulettes, and other fleet vehicles in accordance with all federal, state, and local laws, as well as organizational policies.
- Ensure safe, timely, and efficient transport of staff and participants to scheduled locations.
- Aid participants with boarding, securement, and exiting vehicles, including those with mobility limitations, ensuring dignity, safety, and comfort at all times.
- Adapt routes and schedules as needed based on traffic, weather, and operational demands.
- Respond appropriately to emergencies, breakdowns, or incidents, following established protocols.
Fleet Oversight
- Oversee daily operations of the organization’s fleet, ensuring all vehicles are safe, compliant, clean, and deployment-ready.
- Conduct and document routine pre-trip and post-trip inspections; promptly address safety or mechanical concerns.
- Cook up preventive maintenance, inspections, and repairs with vendors, dealerships, and fleet partners.
- Maintain accurate and up-to-date records (maintenance logs, registrations, insurance, warranties, inspections).
- Monitor vehicle usage, mileage, and fuel consumption to improve efficiency and reduce downtime.
- Ensure all vehicles are properly stocked, sanitized, and equipped prior to deployment.
- Develop and maintain preventive maintenance schedules to extend vehicle lifespan and reliability.
- Ensure compliance with DOT and all applicable regulatory requirements.
Safety & Compliance
- Promote and enforce a strong culture of participant and staff safety across all transportation activities.
- Ensure compliance with safety standards, infection control practices, and emergency preparedness procedures.
- Verify all safety equipment (e.g., wheelchair lifts, tie-downs, fire extinguishers, first aid kits) is functional and properly maintained.
- Document and report incidents, accidents, and safety concerns; support investigations and corrective actions.
- Participate in emergency preparedness planning, drills, and response activities.
- Address any staff who are not following safety protocols during clinical events.
- Maintain required competencies and certifications necessary to perform job responsibilities.
Operational Coordination
- Collaborate with clinical and administrative teams to align transportation services with program needs.
- Support scheduling and deployment of vehicles to ensure efficient daily operations.
- Provide guidance and basic oversight to drivers and staff assigned to transportation functions.
- Serve as the primary point of contact for all fleet-related matters and communicate updates to leadership.
- Participate in operational and interdisciplinary meetings as needed.
Participant Experience & Customer Service
- Foster a participant-centered, respectful, and welcoming environment during all transportation interactions.
- Ensure transportation services are delivered with professionalism, empathy, and responsiveness.
- Address participant concerns promptly and escalate issues when necessary.
- Promote a high standard of customer service, recognizing transportation as a key touchpoint in the participant experience.
- Perform additional duties as assigned to support program and organizational goals.
