About the role

This position functions as a member of the administration team, completing assigned daily front-end tasks to ensure smooth day-to-day operations in the BHMG physician practice. The Patient Service Specialist must maintain a professional, positive manner when interacting with patients in person, over the phone, or via email.

Responsibilities

  • Answer calls and route telephone calls appropriately; take messages and ensure the appropriate physician/staff member receives the information.
  • Provide routine information to callers and relay only authorized medical advice from a provider.
  • Deliver a high level of customer service to all new and existing patients of the practice.
  • Create patient cases and document telephone calls and messages in Epic or other EMR systems.
  • Schedule patient appointments and appropriate testing as requested.
  • Register patients in the EMR, verify demographics, and obtain accurate health insurance information.
  • Conduct eligibility checks to ensure insurance is accurately reflected.
  • Collect required insurance co-pays from patients, including any prior balances.
  • Follow scheduling notes and direct schedules for patient visits in other BHMG practices as advised.
  • Perform pre-visit planning daily for all upcoming scheduled appointments, including running insurance eligibility.
  • Obtain prior authorizations and/or insurance referrals as needed.
  • Perform outreach to select patient groups for patient care and quality measurement/guidelines.
  • Schedule specialty appointments/testing as required.
  • Work in Epic baskets as directed and per practice need.
  • Inform manager of administrative supply needs or assist with ordering.
  • Follow up with providers on missing slips and create claims in Epic.
  • Work assigned revenue cycle buckets as directed.
  • Work independently with minimal supervision.
  • Adhere to BHMG policies and ensure patient confidentiality.
  • Perform other duties as requested.

Requirements

  • One to three years of experience as a medical secretary preferred.
  • Strong customer service skills and a commitment to excellence.
  • Excellent communication and interpersonal skills.
  • Experience with EMR systems strongly preferred (Epic a plus).
  • Experience with Microsoft Office, Word, Excel, and Outlook preferred.

Qualifications

High School Diploma or equivalent required.

Pay

$18.13–$29.90 per hour.

Schedule

  • Monday–Friday, 8:00 AM–5:00 PM as needed.
  • Variable daily hours (8 hours per day).
