About the role

The purpose of this classification is to operate Company switchboard; provide clerical support to the buying staff in the Merchandising Department; provide assistance to stores by researching special order requests; and provide general assistance to stores on about vendors and merchandise.

Essential Functions

  • Greet visitors, answer incoming calls, relay messages to staff members, direct visitors/callers to appropriate personnel, provide information and assistance, fax information, data entry, typing and distributing letters, reports, memos, etc.
  • Absorb stores with special orders by researching necessary information by contacting vendor for merchandise cost, fabric information, merchandise availability, etc.
  • Communicate to stores general information such as vendor and merchandise information.
  • Order merchandise parts; communicate to stores any needed information about replacement parts.
  • Prepare weekly merchandising packages to be sent to stores.
  • Process special order information requested by stores.
  • Review weekly reports to follow up on special orders; contact vendor for shipping updates and relay information to store personnel.
  • Communicate with MIS Department regarding telephone equipment problems.
  • Complete, prepare, route a variety of forms, logs, requests, reports, correspondence, and other documents associated with daily responsibilities of this position; prepare and maintain files and records.
  • Operate a computer terminal, printer, calculator, copy machine, or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, or other system software.

Additional Functions

  • Substitutes for co-workers in temporary absence of same.

Requirements

  • High School Diploma or GED; one year experience in general office or customer service; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
