About the Role
The Member Services and Communications Director serves as the administrator of the social media communications and networking sites approved by the North Dakota Association of REALTORS® (NDAR). This role is responsible for the effective management of social media communications in accordance with the Association’s Social Media Policy and the Employee Policy on E-Communications. The director also administers membership programs, oversees the creation and distribution of the quarterly NDAR REALTOR® Newsletter and the monthly State News Email Newsletter (The REALTOR® Report), and maintains the NDAR Website.
Responsibilities
- Member Services
- Coordinates the quarterly ND REALTOR® Newsletter with the Admin Assistant.
- Coordinates the creation of the monthly State E-Newsletter, The REALTOR® Report.
- Develops effective membership services programs/benefits and supervises their implementation.
- Develops and disseminates NDAR member benefits information and welcome letters to new REALTOR® members.
- Administers and maintains the NDAR Website on an as-needed basis.
- Develops brochures, programs, and other marketing materials for meetings, seminars, and conventions.
- Administers member affinity programs.
- Keeps social media outlets used by NDAR updated.
- Conducts member surveys as needed to identify member needs.
- General Responsibilities
- Assists, serves, and cooperates with the CEO, President, officers, directors, and chairs of committees and task forces.
- Assists the CEO in planning and coordinating meetings of NDAR Committees, Task Forces, Board of Directors, and General Membership, including securing facilities, formulating agendas, distributing meeting notices, packets, and minutes.
- Responsible for maintaining office equipment and supplies.
- Monitors continuing education programs and travels as needed.
- Maintains working relationships with local boards and associations, other state associations, the National Association of REALTORS®, and other real estate-related interest groups (e.g., ND Real Estate Commission, ND Housing Finance Agency, ND Homebuilders Association).
- Maintains effective internal and external public relations pertaining to assigned duties.
- Provides a high level of customer service through general knowledge in all aspects of the Association.
- Participates in State and National activities and programs within the limits of the association’s budget.
- Maintains and purges office files according to the Record Retention Schedule.
- Shares responsibility for answering phones with the Assistant.
- Must be an effective organizer with the ability to recognize priorities and follow through with minimal supervision.
- Must relate and communicate effectively with the public and General Membership, displaying a helpful and courteous attitude.
- Statewide Forms Library
- Maintains the Association’s Statewide Forms Library.
- Works with the Statewide Forms Committee to keep existing forms up to date and create new forms as requested by membership and approved by the committee.
- Manages the forms@ndrealtors.com inbox, including responding to questions and processing Statewide Forms Requests.
- Operates as liaison between the Association and third-party platforms that host the Statewide Forms (e.g., TransactionDesk, zipForms).
- Creates fillable PDF and watermarked PDF versions of all forms to be posted on the NDAR Member’s Only website.
- REALTOR® Convention of the Dakotas
- On years NDAR hosts the convention (every other year, even years only), operates as the assigned staff person for the convention.
- Serves as staff liaison for all convention planning committees.
- Works closely with convention chair/co-chairs to coordinate activities of planning committees.
- Executes plans of committees, including completing contracts and planning events with host location(s).
- Helps with recruitment of sponsors and ensures they receive full benefits of their sponsorship level.
- Plans and executes the RPAC Reception in partnership with the CEO and South Dakota REALTORS® staff.
- Works with educators, speakers, entertainers, and NAR representatives to plan their visit, classes, presentations, or performances.
- Provides onsite support during the week of convention to ensure all events run smoothly.
- Professional Standards
- Operates as the “Professional Standards Administrator,” responsible for the administration of all professional standards processes.
- Completes Professional Standards Training through NAR.
- Fields phone calls from members and the public with concerns or complaints.
- Distributes packets for information on filing an ethics complaint and/or an arbitration request.
- Processes ethics complaints and/or arbitration requests according to the timelines and instructions set in NAR’s Code of Ethics and Arbitration Manual.
- Coordinates and hosts hearings (in-person, hybrid, or virtual), working with complainant(s), respondent(s), and hearing panel chair/members to schedule.
- Provides administrative support during hearings and records the hearing panel’s findings of fact.
- Manages thorough files on all cases and maintains confidentiality.
