Responsibilities
- Aids Manager with coordinating activities of Credentialing Specialist staff, including staff training, orientation to the department, and scheduling.
- Provides feedback to manager on staff performance.
- Counsels and provides guidance to staff.
- Communicates regularly and effectively with employees.
- Coaches staff related to performance measures, ensuring staff members are aware of their performance in relation to job expectations.
- Evaluates effectiveness of credentialing policies, procedures, and database management and office systems.
- Revises practices, develops, and implements changes as necessary to achieve efficient and effective use of resources and to ensure full compliance with applicable standards and bylaws of all Brown University Health Affiliated Hospitals.
- Develops and maintains effective working relationships with other department personnel, as well as external contacts including physicians, department chiefs, division directors, and department administrative personnel to expedite information exchange and resolution of common issues.
- Communicates effectively, orally and in writing, to ensure support staff has the information required for credentialing and database maintenance.
- Facilitates communication between hospitals to foster teamwork and enhance recognition of the department despite geographical separation.
- Serves as a resource for Credentialing Specialist staff, providing guidance on data entry, database maintenance, processing of initial and reappointment applications.
- Identifies system and individual issues; participates in problem-solving and final resolutions.
- Ensures consistent and timely preparation of findings for review by the Credentials Committee.
- Manages the completion of the medical staff credentialing process for appointment and reappointment at Brown University Health Affiliated Hospitals.
- Includes MD profiles for each affiliated hospital to which applicant is applying in the preparation of Credentials Committee agendas.
- Prepares Board of Trustees letters for medical staff members notifying them of appointment or changes.
- Notifies appropriate hospital department personnel of new and/or temporary appointees to the medical staffs and changes to medical staff appointments throughout the hospital.
- Maintains all medical staff and allied health professional credential files for Brown University Health Affiliated Hospitals.
- Performs other related duties as required.
Qualifications
- Level of knowledge of business practices and procedures, computer applications, and communication skills normally acquired through an Associate Degree in business administration or the equivalent preferred.
- Certification by the National Association of Medical Staff Services preferred or must attain certification within 2 years of hire; or within 2 years of initial eligibility to sit for the certification exam.
- Minimum of three years relevant experience in a credentialing environment, or five years of related administrative experience in a health care environment.
- High energy level, and the ability to work as a valuable contributor and collaborator.
- Ability to multi-task, plan, and prioritize a large volume of detail-oriented work in an independent manner and in accordance with departmental needs.
- Successful experience demonstrating the use of interpersonal skills necessary to communicate and gather information from all levels of personnel (e.g., physicians, administrative personnel, and administrative leaders), and the ability to handle highly confidential data in a secure and trustworthy manner.
- Strong working knowledge of Microsoft Office 365 products, Adobe Pro, virtual meeting platforms, and database experience.
- Current knowledge of TJC requirements, CMS credentialing requirements, state regulations, and credentialing processes.
- Required continuing education in federal and regulatory education related to credentialing.
