Medical Staff Coordinator
Job Description
Captures the Campus medical staff master calendar and manages all aspects of meetings, including scheduling, conference room reservation, food, tele-video conferencing, agenda preparation, and minute-taking.
Maintains and protects confidential records of proceedings, forwards recommendations and follow-up, and submits all minutes to the System Medical Staff Office.
Manages the Campus Code of Conduct process, receives reports, processes them according to policy, and schedules committee meetings.
Maintains up-to-date knowledge regarding Medical Staff Bylaws, Organizational Policy, Credentialing Policy, Allied Health Policy, Peer Review Policy, and General Rules and Regulations, serving as a knowledgeable resource.
Conducts Medical Staff Required Campus Orientation for all new physician and Allied Health Applicants, reviews required materials, and assists with appointments for mask fit testing and hospital badges.
Convenes the Annual Campus Nominating Committee by the required date, submits names to the System Office, and completes nomination reports for voting members.
Collaborates with department chairmen or designated section chairmen to coordinate and maintain timely Emergency Room call schedules, assists with submission of call change forms.
Supports Campus Chief of Staff and other Campus Officers, manages correspondence, maintains calendars, coordinates meetings, screens incoming calls.
Serves as liaison with medical staff, hospital administration, and medical staff leadership.
Coordinates and schedules meetings and special events, provides travel arrangements, processes payment authorization invoices and expense reports, and handles contracts and renewals.
Maintains compliance with System processes and medical staff Bylaws and Rules and Regulations.
Strengthens and improves communication regarding medical staff affairs, forwards decisions and recommendations from committee meetings.
Supports Campus Executive Office as needed, monitors and facilitates compliance with System processes and medical staff Bylaws and Rules and Regulations.
Other duties as assigned.
Knowledge, Skills, And Abilities
- Able to communicate effectively in English, both verbally and in writing
- Strong organizational skills and strong attention to detail
- Intermediate level computer knowledge, including proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
- Knowledge of primary source verification processes and procedures
- Ability in transcription and proficiency in medical terminology
- Excellent oral and written communication skills, strong interpersonal skills, leadership and analytical abilities
- Ability to work with individuals of varied backgrounds and professional levels, and develop trusting relationships with medical staff, department personnel, and administration
- Ability to work independently or in a team environment, prioritize projects, problem-solve, and professionally manage workload
- Commitment to pursue relevant certification within a specified timeframe
- Knowledge of customer service principles, problem-solving skills, and ability to work under stress and deadlines
- Demonstrated experience in meeting management and minute taking
Education
- High School Grad or Equiv Required
- Associate Preferred
- Field Of Study in business, healthcare or related field
Work Experience
- 2+ years of administrative support experience in a healthcare setting
