Essential Functions
- Manage physician’s schedule – to include scheduling patient appointments, canceling patient appointments, rescheduling patient appointments.
- Managing telephone calls from patients, other physicians, and other staff; take messages for physicians and nurses; follow-up with those phone calls and take care of patient and physician requests.
- Correspondence with insurance companies.
- Enter charges daily into EMR system.
- Balance daily collections and send to Homewood office.
- Medical record requests; retrieval of and delivery to/from appropriate providers.
- Referrals and pre-certifications.
- Maintains patient accounts by obtaining, recording, and updating personal and financial information.
- Prepare consults, surgeries and admissions forms and forward to surgery schedulers.
- Schedule consults with other physicians, tests and procedures at UCA Homewood office and/or outside facilities.
- Complete FMLA papers at patient’s request.
- Fill-in as needed with patient check-in and check-out.
- Assists other secretaries in office and company, which may include some travel to other outlying offices or the Homewood office location.
- Attends staff meetings as required.
- Conducts self in accordance with UCA’s policies and procedures.
- Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations.
Qualifications
- Must display an understanding of medical terminology.
- Must have prior experience in a medical office and display an understanding of physician clinic procedures.
- Show the ability to have excellent interpersonal skills and communication to interact with all walks of life, internal and external to UCA, from all educational or cultural backgrounds.
- Show the ability to work independently or within a team in a fast-paced environment.
- Must be able to type documents, email, forms, and other communications quickly and with minimal to no errors.
- Show proficiency in use of a variety of office equipment including a PC, Windows, MSOffice, EMR system, multi-line telephone, copier, facsimile machine, etc.
- Show the ability to maintain confidentiality, including strict adherence to HIPAA and UCA Guidelines.
- Must have a high school diploma or GED equivalent.
