Strategic Resources, Inc. (SRI) is an international, ISO 9001/20000/27001 Certified, CMMI Level 3 Rated full-service provider with over 37 years of experience in the Federal, military, and commercial marketplaces. We are seeking full-time Medical Records Technicians to join our team and provide critical services at the U.S. Immigration and Customs Enforcement (ICE) Health Services Corps (IHSC) Medical Facilities in support of the IHSC Detention Center Healthcare contract.

The ICE Health Services Corps (IHSC) operates within the organizational structure of U.S. Immigration and Customs Enforcement (ICE), Enforcement and Removal Operations (ERO), under the supervision of the Department of Homeland Security (DHS). Healthcare professionals, including USPHS Commissioned Corps Officers, civil service staff, and contractors, work together to deliver quality healthcare services. IHSC serves as the medical authority for ICE regarding detainee health care.

Responsibilities

  • Perform day-to-day tasks to maintain the electronic health record (eHR) for IHSC, including receiving, scanning, verifying, and filing medical documentation to ensure complete records.
  • Conduct daily checks within the eHR and address outstanding items with appropriate staff.
  • Schedule appointments, perform data entry, and generate data reports from the eHR system.
  • Maintain confidentiality and security of the eHR at all times.
  • Prepare, update, and maintain accurate medical records for each patient.
  • Maintain and track the appointment system for patients and clinical staff, including sending timely reminder notices.
  • File and scan laboratory, radiology, and other reports in the appropriate sections of the eHR within prescribed timelines.
  • Route clinical reports to appropriate clinic staff within prescribed timelines.
  • Archive clinical information from medical records in accordance with IHSC policy and procedures.
  • Review documentation for completeness and route incomplete documents to providers for correction.
  • Process narrative and tabular material (e.g., correspondence, reports) to update medical records and provide information to medical personnel.
  • Perform record-keeping functions in compliance with program policies.
  • Maintain proficiency in using electronic health records.
  • Complete Medical Records Technician competencies initially and annually.
  • Complete all required initial, annual, and ad-hoc training.
  • Serve as a team member to analyze established protocols and identify areas for improvement.
  • Maintain patient confidentiality and comply with Privacy Act and HIPAA regulations.
  • Adhere to IHSC Policies, Procedures, Directives, Operational Memoranda, and accreditation standards.
  • Participate in IHSC’s Safety, Prevention, Infection Control, Quality Improvement, and Patient Education programs.
  • Attend and participate in general and medical staff meetings.
  • Respond to emergencies and provide support during activations, including assisting detainees or staff during evacuations.

Requirements

  • High School Diploma or GED equivalent from an institution accredited by a U.S. Department of Education-recognized entity.
  • Minimum of one year of experience in a healthcare setting as a medical record technician, clerk, unit secretary, or similar role involving electronic medical/health records.
  • Minimum of one year of direct experience with Microsoft Office programs, including Word, Excel, Outlook, and SharePoint.
  • Maintains Heartsaver® CPR AED certification through the American Heart Association®.
  • Knowledge of standard electronic medical record procedures, documentation requirements, and workflows.
  • Familiarity with medical terminology.
  • Ability to manage a high volume of medical records, including intake, discharge, and external requests.
  • Proficiency in processing requests for information in compliance with Fair Information Practice Principles and the Privacy Act.
  • Ability to identify and resolve documentation inconsistencies.
  • Experience maintaining an electronic medical record system and ensuring compliance with regulatory agencies.
  • Ability to work in a multicultural and multilingual environment, utilizing telephonic interpreter services when necessary.
  • Strong adaptability to sudden schedule changes and flexible work requirements.
  • Proficiency in English (verbal and written) to communicate effectively with patients, coworkers, and stakeholders.
  • Ability to establish and maintain positive working relationships in a multidisciplinary environment.
  • Functional proficiency in common Microsoft Office programs (Word, Excel, Outlook, SharePoint).
  • Knowledge of HIPAA/Privacy Act regulations regarding patient confidentiality and Personally Identifiable Information (PII).

Schedule

  • Full-time position requiring availability for day, evening, weekend, and holiday shifts.
  • Night shifts may occasionally be requested based on mission needs.
  • IHSC operates 24/7/365; position may require response during emergency activations.
  • On-call availability is not required.

Physical Demands

  • Work requires physical exertion, including long periods of standing, walking, or jogging over rough or uneven surfaces.
  • Recurring bending, crouching, stooping, stretching, reaching, or similar activities.
  • Recurring lifting of moderately heavy patients or equipment.
  • Ability to respond to medical emergencies within four minutes and perform CPR/emergency care while standing or kneeling.
  • Ability to assist sick, injured, or aging detainees or staff during building evacuations.
  • Must possess agility, dexterity, and adequate visual and hearing capabilities.

The Department of Homeland Security’s Personnel Security Unit (PSU) must render an Initial Preliminary Favorable Fitness Determination for consideration. A Complete Favorable Fitness Determination is required upon completion of background investigations.
