Job Summary

The Medical Records Specialist at New Mexico Surgery Center - Multispecialty performs a variety of duties such as chart analysis, abstracting, audits, and filing. Duties include preparing and responding to correspondence, releasing patient information, preparing charts for doctor's signatures, maintaining confidentiality, and completing medical record forms.

Essential Duties and Responsibilities

  • Assemble medical charts upon completion and review for completeness, obtaining missing signatures or documents.
  • Maintain medical record files and ensure confidentiality.
  • Obtain and file reports from outside vendors.
  • Absorb and respond to infection control surveys and mail forms to surgeons.
  • Complete medical record and obtain surgeon signatures on operative reports.
  • Manage outstanding operative reports and assist in report preparation for the Medical Executive Committee (MEC).
  • Ensure new physicians have transcription numbers and information.
  • Resolve issues with transcription services.
  • Answer incoming calls professionally within three rings, inform the Business Office Coordinator of relevant situations.
  • Follow up on outstanding tasks and maintain logs.
  • Support other business office areas as needed.

Required Skills

  • High school diploma or equivalent
  • Six months medical records experience in an ambulatory surgery center or a medical provider
  • Operates 10-key calculator and demonstrates computer skills
  • Reads and comprehends simple instructions, short correspondence, and memos
  • Writes simple correspondence
  • Communicates effectively on one-on-one and small group situations
  • Applies common sense understanding to carry out detailed written or oral instructions
  • Regularly sits, uses hands and fingers to handle or feel objects and tools, stands, walks, climbs or balances, stoops, kneels, crouches, or crawls
  • Hears and speaks
  • Lifts and moves up to 20 pounds occasionally
  • Works in a professional environment
