Job Summary and Qualifications

Responsible for establishing the initial and on-going impression for patients, families and/or caregivers, and other customers. Responsible for accurate and timely scheduling of patient appointments, complete and accurate maintenance of medical records, and providing support to clinical and administrative staff to enable operations to run as smoothly as possible on a daily basis.

JOB SPECIFIC DUTIES

  • Appointment Scheduling
    • Confirms the patient’s primary care insurance coverage is Medicare
    • Schedules appointments within five days according to patient need and convenience or according to physician order
    • Accurately completes new patient registration form
    • Checks appointment book, computer or chart for future appointments and reschedules or cancels as necessary
    • Informs new patients of arrival time, need to bring insurance cards, all medications, and photo identification
    • Neatly records patient’s full name, telephone number, appointment type (and other computer required information if applicable) in appointment book
    • Obtains patient’s authorization for release of medical records from other physicians, hospitals, clinics, etc., and secures copies of patient’s medical records in a timely manner
    • Calls all scheduled patients the working day prior to the appointment as a reminder
    • Checks-In Responsibilities
      • Copies schedule for next day and pulls all charts on schedule
      • Pulls all charts on schedule
      • Prepares charts with proper forms, ensuring completion of each form including the medical record number and application of all labels
      • Reviews all demographics with patient to ensure accuracy and completion
      • Completes patient registration in Paradigm system, completing all screens accurately, creating a patient account
      • Is familiar with and can explain each business office document to the patient and/or care giver
      • Interacts appropriately with patient and/or care giver during patient registration
      • Communicates effectively and courteously with patient at all times
      • Copies all insurance cards and verifies current coverage confirming that Medicare is the primary insurer
      • Collects copies of all Advanced Directives as indicated
      • Informs staff of private patient issues
      • Missed Appointment Responsibilities
        • Calls patients who are more than 30 minutes late to inquire about missed appointment and reschedule as necessary
        • Notes in patient chart when unable to reach patient, patient chooses not to reschedule, or patient cancels appointment
        • Marks on the nurse’s copy of the schedule, rescheduled or cancelled
      • Check-Out Responsibilities
        • Collects any patient responsibility for the facility insurance or whose secondary insurance does not cover the visit
        • Collects Medicare deductible and has patient sign Conditions For Treatment form at the beginning of the year
        • Provides patient with receipt of transaction, keeping a copy for the cash box
        • Copies any patient instructions and places in medical record
        • Records on daily schedule the level of service, procedures, all referrals, and evidence of completion of registration, entering of charges, and abstracting/coding and provides for Director for tracking statistics
        • Keeps all logs up to date and accurate
      • Other Position Specific Functions
        • Opening and closing of North Florida Endoscopy Center including the proper use of alarm system
        • Greeting patients and visitors using eye contact
        • Maintains office supply inventory and orders supplies
        • Participates in Conferences on Patient Care
        • Accurately monitors stamp supply
        • Performs quality checks on medical records
        • Remains informed of Medicare guidelines
        • Directs billing inquiries appropriately
        • Directs all patient inquiries appropriately
        • Explain tasks and offer minimal supervision to volunteers
        • Completes Scheduled Patients charts daily
        • Maintains supply of blank forms and new patient packets
        • Distributes office mail and staff messages timely
        • Maintains filing system
        • Answers phone is courteous, timely manner
        • Affirms “Waiver Signed” indicated on Encounter Form if applicable
        • Mails out letters to referring Doctors

    Qualifications

    • Basic Cardiac Life Support must be obtained within 30 days of employment start date
    • 1-2 years related experience
    • High School Graduate or GED preferred
