Medical Staff Administrative Assistant

The Medical Staff Administrative Assistant will support the medical team to ensure that all schedules are effectively managed and posted. They will support the Graduate Medical Education programs and complete reporting for the GME grants. They will be the primary contact for the subspecialist service providers and provide administrative support to the Medical Directors for inpatient, day hospital, and long-term care for management of quality improvement initiatives. They will also support the Medical Staff Office to meet the needs of the medical staff, contracted physicians, and students.

We partner with academic medical centers in the Northeast Corridor of the United States to admit patients to our state-of-the-art 118-bed facility. Responsibilities

  • Schedule creation and maintenance for attending physicians, nurse practitioners, and moonlighters to ensure 24/7 coverage that meets budgeted goals.
  • Calendar management for subspecialty clinicians, including entering and updating their schedules monthly and tracking contracts.
  • Support for quality improvement initiatives, facilitating collaboration with other departments and administrative support for meeting notes and communications.
  • General office support, including managing and tracking invoices, responding to email inquiries, fax distribution, answering phones, sorting mail, and maintaining office supplies.
  • Participation in Graduate Medical Education activities to ensure quality experiences for residents and fellows, supporting onboarding, scheduling rotations, and program reporting.
  • Credentialing assistance, managing clinician credentialing profiles in the credentialing software and uploading correct documentation to MDs and NP profiles.
  • Medicaid enrollment, revalidation, and reinstatement, maintaining an accurate and organized NY and CT Medicaid filing system.

Requirements

  • 3+ years of medical office administration experience in a healthcare setting.
  • Experience in a Medical Staff office or Graduate Medical Education department preferred.
  • Proficiency in CredentialStream/VerityStream, Symplr, Microsoft Office (Word, Outlook, Excel, Powerpoint, Visio, Access, Teams, OneNote), Adobe Acrobat, Zoom.
  • Knowledge of Expanse/Meditech and/or other electronic medical record applications helpful.

Qualifications

  • Demonstrable effective organizational skills.
  • Ability to communicate with internal and external stakeholders.
  • Bachelor’s degree from an accredited university in the U.S.
  • Fluency in English and bilingual skills a plus.
