About the Role
Hennessy & Roach, P.C. is seeking a full-time Medical File Clerk for our St. Louis, MO office. This position is ideal for a motivated, detailed, and organized professional capable of functioning in a fast-paced, challenging legal environment.
Schedule
Monday through Friday, 9:00 a.m. to 5:00 p.m.
Responsibilities
- Perform various clerical duties, including handling mail, faxing, using a copy machine, maintaining a calendar, and operating office equipment.
- Assist with answering phones and transferring calls.
- Make deliveries and pickups within the downtown St. Louis area.
- Request and log medical records with oversight of the attorney team, including preparing medical and other authorizations.
- Communicate with opposing law firms, medical providers, and other parties to secure requested documents.
- Obtain prepayments and request payment of invoices to secure documentation.
- Schedule Independent Medical Evaluations (IME), including providing case information to designated physicians and preparing letters advising parties of appointments.
- Schedule and coordinate depositions.
- Maintain filing systems, including emails in the proper location/files.
- Assist with daily docketing, including mail and electronic notices.
- Request subpoenas and follow up to obtain medical records, if required.
- Print and gather file materials for new and existing files.
- Perform other related duties as assigned.
Requirements
- High school diploma or GED (or equivalent) required; associate or bachelor's degree helpful.
- 1-5 years of experience supporting a legal office or working in the legal industry.
- Background in the medical field or medical terminology.
- Microsoft Word and Outlook experience required; Excel and PowerPoint experience preferred.
- Outstanding organizational, interpersonal, and administrative skills.
- Excellent attention to detail with the ability to multi-task.
- Strong communication and proofreading skills.
- Self-motivated with the ability to meet deadlines under pressure.
- Able to work independently and as part of a team.
- Excellent organization, planning, attention to detail, and dependability.
- Commitment to firm and client confidentiality.
- Ability to lift up to 50 pounds occasionally.
