Medical Department Coordinator (Part-time)

About the role

This part-time role supports clinicians and administrative functions for the Medical and Quality Assurance Departments, including scheduling, provider onboarding, and QA support. The position is 16 hours per week.

Responsibilities

  • Assist with departmental vision, mission, and process improvement; lead devotions
  • Coordinate clinician performance reviews and gather feedback for evaluations
  • Schedule monthly CRNP/PA–collaborating physician meetings and quarterly Site Medical Director oversight meetings
  • Support projects for Medical Director, Site Medical Directors, and Associate Medical Directors
  • Provide spiritual support and advocacy for clinician wellbeing; respond promptly to clinician communications
  • Assist with monthly provider schedule creation, extended bin coverage, and on-call schedules
  • Administer clinician scheduling templates in the EMR (blocking admin time, meetings, pumping, EMR ramp-up, etc.)
  • Track clinician absences and blocked patient-care sessions; verify weekly EMR schedule accuracy
  • Create and modify EMR schedule templates as needed
  • Participate in clinician screening and interviewing; assist with recruiting at conferences and career fairs
  • Collect and record payroll data and PTO accruals for the medical department; resolve discrepancies with HR
  • Perform monthly after-hours clinician response-time page audits and maintain QA tracking sheets
  • Support Associate Medical Director for QA with meeting notes and data updates
  • Provide tours and networking support, especially at K&A; cover tasks during team absences; perform other duties as assigned

Requirements

  • Bachelor’s degree preferred
  • At least 1–2 years of administrative experience preferred
  • Bilingual English/Spanish preferred
  • Proficiency with MS Word and Excel
