About the Role

Join the UTHealth Neurology Clinic as a Medical Assistant III and play a vital role in supporting patients and providers through efficient coordination of medical forms and clinical documentation. In this position, you will manage incoming patient forms and clinical faxes, ensuring the timely and accurate processing of FMLA, disability, accommodation, return-to-work, and other medical documentation. Working closely with providers and clinical staff, you will help streamline workflows, maintain compliance, and support exceptional patient care by ensuring critical information is routed, reviewed, and completed accurately and efficiently.

Position Summary

Functions as a member of clinical team performing a supportive role in the delivery of patient care that is safe, effective, patient-centered, timely, efficient and equitable.

Key Accountabilities

  • Performs responsibilities in a manner that promotes quality patient care and customer service/satisfaction.
  • Effectively participates in planning and preparing for patient visits ensuring appropriate schedules, test results, and clinic specific requirements are available.
  • Rooms patients consistent with clinic needs while determining and documenting chief complaint and reason for visit, vital signs, medication list, allergies, smoking history and other information as required by clinic. Keeps patients informed of delays and progress of clinical appointments.
  • As required and competency validated, performs appropriate hearing and vision testing, EKG, spirometry, point of care testing, specimen collection, equipment cleaning/reprocessing and other requested procedures.
  • Prepares and stocks rooms (daily/weekly) and clinic supplies in advance of clinic visit as well as cleaning rooms appropriately between patients. Prepares for and assists with routine and specialty procedures.
  • Schedules patients for follow up appointments or referrals and performs routine clerical duties for team and staff to include photocopying, scanning and faxing.
  • Performs telephone messaging and in person screening with appropriate follow up.
  • Responds to emergency situations.
  • Respects and maintains privacy and confidentiality per HIPAA guidelines.
  • Performs other duties as assigned.

Certification & Skills

  • Use and care of standard clinic equipment.
  • Basic Life Support (BLS) by American Heart Association (AHA) required.
  • Certified Medical Assistant (CMA) by American Association of Medical Assistants (AAMA) required or Registered Medical Assistant (RMA) by American Medical Technologist (AMT) required or National Certified Medical Assistant (NCMA) by National Center for Competency Testing required or Certified Clinical Medical Assistant (CCMA) by National Healthcareer Association (NHA) required.

Preferred Qualifications

  • Experience with electronic medical records and clinical documentation preferred.
  • Familiarity with FMLA and disability forms preferred.
  • Strong attention to detail, organization, and time management.
  • Ability to manage a high volume of forms and incoming documents.
  • Effective written and verbal communication skills.
  • Ability to recognize when a request requires clinical/provider review rather than independent MA determination.

Minimum Education

High school diploma or equivalent. Completion of an approved Medical Assistant training program OR one (1) year of experience (in addition to the three (3) years of experience required to meet the experience requirement) AND certification may be substituted for Medical Assistant training program.

Minimum Experience

Three years of experience in a healthcare setting.

Physical Requirements
