Responsibilities
- Act as the first point of contact for patients, staff, and guests at the clinic.
- Perform all administrative tasks associated with patient check-in.
- Open the front office and complete all associated duties.
- Welcome, greet, and assist patients in a courteous and professional manner.
- Schedule patient appointments accurately and efficiently using the computer system.
- Answer all incoming telephone calls, provide necessary information, or route calls as needed.
- Register patients by accurately entering demographic and insurance information into the electronic medical system.
- Verify and ensure completeness of patient registration documentation.
- Review and verify patient insurance coverage using online resources.
- Explain payment options, including sliding scale fees, Medicare, Medicaid, and other forms of payment assistance.
- Collect deposits, co-payments, or deductibles prior to the patient being seen by the provider per company policies.
- Perform closing and end-of-day processes, including daily posting of collected monies into the electronic medical system and balancing the drawer for end-of-day deposit.
- Utilize software systems in the clinic, including i2i, Tableau, Vital Interactions, Patient Portal, and check-in kiosks.
- Run Vital Interaction reports and follow up on appointments needing confirmation and no-shows.
- Work closely with nursing, provider, medical assistant, and extended care teams to ensure smooth patient flow and reduce cycle time.
- Assist the clinical care team with closing gaps in care by notifying patients of services due.
- Work with the HIM department to accurately scan medical documents into the EMR system.
- Notify appropriate personnel of emergencies, messages, patient arrivals, etc.
- Document and communicate patient concerns to the site triad leadership team.
- Work assigned hours and as needed outside regularly scheduled hours, including weekends.
- Participate in meetings and trainings, and adhere to all company policies and procedures.
- Maintain confidentiality of all patient, clinical, and company information and data in compliance with HIPAA guidelines.
- Perform all duties in an ethical manner consistent with the I Promise statement.
- Perform other job-related duties as assigned.
Knowledge, Skills, and Abilities
- Knowledge of healthcare office concepts, practices, policies, and procedures.
- Knowledge of insurance verification procedures.
- Proficiency with Microsoft Office Applications (Word, Excel, Outlook).
- Understanding of HIPAA and Joint Commission guidelines and regulations.
- Skilled in providing exceptional customer service.
- Strong verbal and written communication skills, including telephone and email etiquette and documentation.
- Ability to work independently in a fast-paced, multi-task clinical environment and as part of a team.
- Effective problem-solving techniques.
- Ability to work in a self-directed, organized manner while multitasking with strong attention to detail and accuracy.
- Ability to present information in a consistent, organized, and accurate manner.

Minimum Education
High School Diploma or Equivalent
Minimum Experience
At least one year of demonstrated experience in an administrative position.
