The Opportunity

We're looking for a sharp, organized, and detail-oriented Medical Administrative Assistant to join our Personal Injury or Workers' Compensation department. This is a dynamic role at the intersection of healthcare and legal — you'll be working with patients, attorneys, insurance adjusters, and clinical staff to ensure seamless coordination of care and documentation. No prior PI or workers' comp experience required — we'll train the right person. What we need is someone who is fast, reliable, picks things up quickly, and takes pride in doing things right.

Responsibilities

  • Manage patient records, referrals, and documentation for PI and/or workers' comp cases
  • Coordinate with personal injury attorneys, case managers, and paralegals to obtain necessary authorizations and case information
  • Communicate with insurance carriers and adjusters to verify benefits and coordinate workers' comp claims
  • Schedule patient appointments and follow-up visits across multiple VPRC locations
  • Prepare and send medical records, reports, and billing documentation in a timely manner
  • Maintain accurate and up-to-date patient accounts in our EMR system (eClinicalWorks)
  • Track outstanding items on active cases and follow up proactively — nothing falls through the cracks
  • Support the billing and lien management team as needed
  • Handle high call volume professionally and efficiently
  • Maintain strict confidentiality in accordance with HIPAA guidelines

Requirements

  • Minimum 1 year of experience in a medical office or healthcare setting
  • Strong organizational skills — you manage multiple priorities without losing details
  • Excellent written and verbal communication
  • Ability to learn new software quickly
  • Ability to work in a fast-paced environment and adapt when priorities shift
  • Professional, friendly demeanor with patients and external contacts
  • Reliable, punctual, and a true team player

Preferred Qualifications

  • Experience with eClinicalWorks (eCW) EMR
  • Familiarity with personal injury, workers' comp, or medical billing
  • Bilingual English/Spanish
  • Experience working with attorneys, insurance companies, or legal staff
  • Medical assistant certification (CMA or RMA)
