About the Role

The Media Library Specialist manages the receipt, shipment, and tracking of media materials while ensuring compliance with the National Industrial Security Program Operating Manual (NISPOM) Security Regulations. This role demands meticulous record-keeping, adherence to mailing protocols, and coordination with internal and external stakeholders to maintain security and efficiency in media handling.

Responsibilities

  • Publications Library Management:
    • Record and store classified media according to content, purpose, principal user, date generated, and other criteria in compliance with NISPOM Security Regulations.
    • Maintain accountability for all media statuses via communication methods and database systems.
    • Update media information in the database as needed.
    • Perform maintenance on tapes.
  • Customer/User Interface:
    • Assign identification numbers sequentially and store media by content, principal user, and assigned number.
    • Prepare a monthly library activity report to communicate activities and compliance.
    • Perform user media content searches and provide results.
  • Security and Accountability:
    • Maintain vault access lists and submit/receive receipt lists.
    • Package, ship, track, distribute, and destroy classified media in accordance with NISPOM Security Regulations.
    • Perform semi-annual inventory (or as needed) for over 30,000 pieces of media.
    • Archive and back up magnetic media copies of software version releases per government configuration management requirements.
    • Transport media to off-site locations for secure storage and usage.
  • Additional Responsibilities:
    • Coordinate with security personnel and relevant departments to manage secure media transfers.
    • Ensure proper handling and storage of classified and sensitive media materials.
    • Monitor and track shipments, resolving discrepancies or delays.
    • Develop and implement procedures to improve media shipment processes while ensuring regulatory compliance.
    • Assist in periodic audits and inspections related to media tracking and security compliance.
    • Maintain an organized and up-to-date media inventory system.
    • Provide training and guidance to staff on proper media handling procedures.

Requirements

  • Education: Associate's degree or equivalent combination of education and experience. Bachelor's degree preferred.
  • Experience: 2+ years for Junior position, 5+ years for Senior position.
  • Clearance: Secret clearance required.
  • U.S. Citizenship: Required.

Skills

  • Experience in records management, shipping, logistics, or media library operations.
  • Knowledge of NISPOM Security Regulations and secure media handling procedures.
  • Experience or familiarity with handling classified materials.
  • Demonstrated ability to work independently and as part of a team.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office Suite and database management.
  • Ability to manage multiple tasks efficiently and meet strict deadlines.
  • Excellent written and verbal communication skills.
  • Ability to travel locally as needed.

Preferred Skills

  • Prior experience in a government or defense-related environment.
  • Familiarity with classified document and media control procedures.
  • Familiarity with secure transportation of classified materials.
  • Courier experience, preferably with handling sensitive or classified information.

Work Environment

This position may require standing, walking, and lifting packages. Work is performed in an office or controlled environment with strict security protocols. Local travel may be required.

Schedule

This is a full-time position, typically working 40 hours per week. Overtime may be required depending on operational needs.
