About the Role

The Materials Management Specialist III leads advanced supply chain functions, manages procurement and inventory systems, and supports reporting and process improvements. This role coordinates, administers, implements, and assists in developing the supply support system to operate efficiently and meet the needs of patients and the organization. The Specialist acts as a Buyer for non-contract items and services, which may require clinical knowledge, and may have a high level of responsibility for acquisition, procedure development, maintaining, repairing, and reporting errors for inventory control systems.

Responsibilities

  • Designs, runs, reviews, and maintains reports for problem resolution; may act as a lead.
  • Performs and coordinates pricing and selection of non-contract items and services with vendors as directed.
  • Supports and helps maintain new Vendor Access policies.
  • Finds acceptable clinical substitutions in backorder situations and communicates with stakeholders to prevent zero fills.
  • Ensures assigned area purchases comply with Carilion policies, vendor contractual agreements, and purchase authorization guidelines.
  • Meets assigned department and Materials Management budgetary goals and performance indicators.
  • Exercises cost controls over stock item inventories, consigned and non-consigned, including effective utilization of MMIS, product evaluations, timely phase-out of discontinued products, and establishment of min/max levels and critical order points.
  • Assists with Physician Preference Items (PPI) purchasing, inventory management, and audit management.
  • Consults with fiscal departments to ensure proper coding of revenue items and makes recommendations for revenue relative to the Charge Master.
  • Coordinates returns of nonstock and stock supplies and equipment for credit or repair, working closely with other departments.
  • Serves as a contact and communicates with other healthcare facilities, sales reps, and external stakeholders regarding supply availability, new products, and product standardization.
  • Develops procedures and recommends policies for adding new product lines to the automatic replenishment process; responsible for training and execution related to these and other assigned product lines.
  • May function as a project team lead for new projects, documenting milestones and ensuring total project execution.
  • Acts as an advocate for team cohesion and supports the Materials Management Manager and Director in daily priorities.
  • Supports fellow Specialists to drive performance and may function as a team lead.

Requirements

  • Minimum of 2 years of healthcare materials management or inventory experience.
  • Proficiency in Microsoft Office, including Excel spreadsheets with formulas, sorting large data sets, and printing.
  • Familiarity with automated procurement and inventory control systems.
  • Ability to act independently with minimal supervision.
  • Ability to work collaboratively in a team setting.
  • Ability to meet deadlines within short time frames.
  • Ability to perform repetitive tasks for extended periods.
  • Ability to thrive in a continually changing environment.

Qualifications

  • High School Diploma or equivalent required; 1 year of experience can be accepted in lieu of education.

Pay

Compensation Range: $18.70 - $26.18 per hour. Employee pay is based on a variety of factors, including qualifications, credentials, education, and prior work experience. The compensation range does not include benefits or pension plan.
