Mass Tort Legal Assistant
Impact Staffing International (ISI) is seeking a Mass Tort Legal Assistant to join our client's growing Mass Torts team in Houston, Texas. This individual will support the legal and operational processing of high-volume mass tort claims, working across a large volume of clients and matters at various stages.
About the role
This position will support attorneys and other members of the Mass Torts team through client communication, case management, medical records coordination, reporting, document preparation, vendor communication, and litigation support. The role requires someone who is highly organized, detail-oriented, comfortable managing competing priorities, and able to work independently in a fast-moving environment.
Responsibilities
- Support a high volume of mass tort claims, including complex mass tort dockets.
- Communicate with clients by phone, email, and mail, providing professional and empathetic support throughout the claims process.
- Maintain accurate case management records, documenting all client communications, follow-up attempts, case activity, and outcomes.
- Order, track, review, and assist with summarizing medical records while coordinating with third-party records vendors.
- Prepare, organize, format, and manipulate legal documents, correspondence, records, reports, and PDFs.
- Analyze large volumes of case and client data in Excel, including filtering, sorting, reviewing, and validating data.
- Assist with electronic court filings, docket tracking, pleadings, discovery materials, subpoenas, FOIA requests, and other litigation documents as needed.
- Coordinate with attorneys, outside vendors, local counsel, government entities, and other external partners.
- Compile and organize medical records, photographs, client documentation, investigative materials, and other information for attorney review or document production.
- Support document production activities, including combining, reorganizing, redacting, coding, and Bates stamping documents.
- Assist with client escalations, reporting projects, records requests, and other ad hoc operational needs across the Mass Torts practice.
Requirements
- 2+ years of legal assistant, case management, paralegal, or similar legal support experience in a high-volume environment.
- Prior mass tort experience strongly preferred, with personal injury or other high-volume plaintiff-side litigation experience also considered.
- Strong Microsoft Excel skills, including filtering, sorting, organizing, reviewing, and manipulating large sets of data.
- Strong PDF and Adobe Acrobat skills, including combining documents, reorganizing pages, editing files, and general document manipulation.
- Exceptional attention to detail and ability to maintain accurate and complete case records.
- Strong organizational and multitasking skills with the ability to manage numerous matters and priorities simultaneously.
- Ability to work independently, exercise sound judgment, and stay productive when supervising attorneys are working remotely.
- Strong written and verbal communication skills with the ability to interact professionally and empathetically with clients from a wide range of backgrounds.
- Willingness to handle both routine administrative responsibilities and more complex legal support projects as business needs change.
- Ability to quickly learn and navigate case management systems and new technology.
Preferred Qualifications
- Experience working directly with mass tort clients and claims in a high-volume environment.
- Experience ordering, reviewing, tracking, and summarizing medical records.
- Experience with electronic court filing and docket management, including federal and/or state court filings.
- Familiarity with preparing complaints, pleadings, discovery materials, Plaintiff Fact Sheets, or similar litigation documents.
- Experience communicating and coordinating with medical records vendors, outside counsel, government entities, or other third parties.
- Experience with document production, redaction, Bates stamping, or discovery support.
- Spanish language skills are a plus, but not required.
Schedule
Monday through Friday, 8-hour shifts. Potential overtime may be available based on docket deadlines.
