Marketing & Sales Support Coordinator (Tradeshow & Events)
Position Summary
The Marketing & Sales Support Coordinator plays a critical role in supporting the Sales and Marketing teams by coordinating tradeshows, customer events, marketing logistics, and administrative activities. This individual will manage project timelines, communicate with vendors and internal stakeholders, organize event materials, maintain accurate records, and provide day-to-day administrative support that helps keep projects moving efficiently.
Key Responsibilities
Coordinate the planning and execution of company tradeshows, customer events, and training programs.
Manage tradeshow projects using the company's project management system.
Cook up logistics with event organizers, vendors, freight brokers, contractors, Regional Sales Managers (RSMs), distributors, and internal departments.
Organize marketing materials, promotional assets, booth equipment, shipping, and returns.
Gather and maintain event documentation, schedules, and project timelines.
Aid with troubleshooting event-related issues to ensure successful execution.
Support tradeshow preparation without regular onsite attendance or travel.
In-House Customer Events
Coordinate customer and partner training events hosted at the Ravenna facility.
Manage registrations, hotel accommodations, catering, supplies, and event logistics.
Communicate with guests and employees to ensure all event requirements are met.
Serve as the onsite host by greeting visitors, staging meeting spaces, supporting event activities, and assisting with cleanup.
Sales & Administrative Support
Provide administrative support for Sales and Marketing initiatives.
Enter and maintain customer contacts and prospect information in company systems.
Print brochures, manuals, and other marketing materials using in-house production equipment (training provided).
Assist with distributor contract administration and document coordination.
Schedule maintenance for company vehicles, trailers, and related equipment.
Maintain organized records, files, and documentation related to marketing, events, contracts, and equipment.
Support communication between Sales, Marketing, Service, distributors, vendors, and other internal teams.
Aid with general office administration and special projects as assigned.
Requirements
Associate's or bachelor's degree preferred, or equivalent combination of education and experience.
Previous experience in administrative support, marketing coordination, sales support, event coordination, or project coordination preferred.
Strong organizational skills with exceptional attention to detail.
Ability to manage multiple projects and competing deadlines simultaneously.
Excellent written and verbal communication skills.
Strong interpersonal skills with the ability to work effectively across multiple departments.
Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).
Experience working with ERP, CRM, or project management software is highly desirable.
Comfortable learning new technology systems and digital tools.
Self-motivated, dependable, and proactive with strong follow-through.
